Overview
This role is for an Executive Assistant based in Dubai, UAE. The position combines executive coordination, basic accounting support, HR administration, and day-to-day office management.
Executive Support
- Organize calendars, meetings, and appointments for the leadership team.
- Arrange travel plans and prepare detailed itineraries.
- Draft reports, presentations, and sensitive correspondence.
- Serve as the main contact point for executives dealing with both internal teams and outside stakeholders.
Accounts Support
- Manage petty cash and compile expense statements.
- Assist with invoicing, payments, and bank reconciliation activities.
- Coordinate with external accountants on VAT filings, audits, and related matters.
- Keep organized records of receipts, payments, and other financial transactions.
HR Assistance
- Update employee files and maintain the HR database.
- Support hiring, onboarding, and employee exit processes.
- Monitor attendance and leave records, and prepare payroll inputs.
- Help with employee engagement initiatives and labor law compliance.
Administrative Tasks
- Oversee office supplies, vendors, and general office maintenance.
- Handle email, courier, filing, and other routine correspondence.
- Assist with organizing meetings and company events.
- Keep documentation and internal policies current.
Requirements
- A bachelor’s degree in Business Administration, Finance, HR, or a closely related discipline is required.
- At least 1 year of experience in a similar multi-functional administrative role is preferred; freshers may also apply.
- Strong working knowledge of MS Office, including Excel, Word, and PowerPoint.
- Exposure to accounting tools such as Tally, QuickBooks, Zoho, or similar platforms will be an advantage.
- Understanding of UAE labor regulations is needed.
- The candidate should have strong communication, multitasking, and time management abilities.
