Job description

Role Overview

The Document Controller is responsible for overseeing the management of both technical and commercial documents to ensure transparent, precise, and traceable project delivery.

Key Responsibilities

  • Receive and verify incoming engineering drawings, datasheets, contracts, and vendor packages.
  • Examine documents to ensure complete metadata, authorized signatures, and accurate title block details.
  • Maintain files within the Master Document Register system.
  • Facilitate formal communication transmissions related to the project.
  • Implement strict revision controls to identify and archive obsolete documents.
  • Distribute Requests for Information (RFI) logs and technical submittals to the relevant engineering teams.
  • Monitor unresolved engineering review rounds and escalate if milestone delays occur.
  • Conduct training sessions on document control platforms for internal teams and external collaborators.
  • Assemble thorough project handbooks, operational manuals, and finalized as-built drawings.
  • Perform routine audits on the data storage systems to maintain data integrity.
  • Restrict access permissions to protect sensitive designs and confidential company records.
  • Ensure all project folders comply with ISO 9001 and applicable local building regulations.
  • Generate periodic status updates for project leadership related to overall data quality.

Required Qualifications

  • Between 2 to 4 years of relevant work experience.
  • Proficient in Electronic Document Management Systems, including BIM360, Procore, Viewpoint, or Autodesk Construction Cloud.
  • Expertise in Microsoft Excel and Word, as well as PDF markup tools like Bluebeam.

  • Strong attention to detail.
  • Ability to collaborate effectively with design engineers, clients, project managers, and on-site personnel.
  • Capability to manage multiple tasks and projects concurrently on a daily basis.
