About the Role
This contract position, expected to last until April 2027, involves providing administrative, programmatic, and call-center assistance for the Nursing-Only programs at Bayshore Specialty Rx. The coordinator will facilitate patient appointment scheduling to ensure adherence to treatment plans, encourage patients to use Bayshore pharmacies, and report adverse events to Health Canada and relevant systems. They will manage client referrals, scheduling, pharmacy requests, communications, data entry, and maintain data accuracy. Additionally, the coordinator handles incoming calls by assessing and appropriately addressing or routing inquiries.
Primary Responsibilities
- Serve as the main liaison among physicians, nurses, schedulers, clinics, patient support programs, and pharmacies.
- Offer proactive support and advocacy for patients.
- Provide updates to various stakeholders as needed; manage program emails, answer inbound calls, place outbound calls, data entry, and general administrative tasks.
- Assess and prioritize program referrals, communications, and tasks entered into the CRM system.
- Support the Clinical Associate Program Manager with administrative duties as required.
- Gather data from primary and secondary sources and maintain databases and CRM systems.
- Engage in data integrity and file cleanup projects when necessary.
- Perform billing reconciliation, data entry, filing, obtain and organize supporting documents, and prepare reports, spreadsheets, and dashboards to meet monthly deadlines.
- Ensure timely completion of reporting and service commitments.
- Assist with training and mentoring new employees.
- Participate in quality assurance and continuous improvement initiatives aligned with the company's Quality Management System.
- Commit to health and safety by reporting risks to supervisors.
- Maintain confidentiality of client and corporate information, sharing it only with authorized Bayshore personnel.
- Engage in internal or external continuing education opportunities.
- Complete other assigned tasks as needed.
Qualifications and Skills
- Bilingualism in English and French is considered advantageous.
- Previous experience in insurance, healthcare, or pharmaceutical sectors is preferred.
- Familiarity with insurance data management is an asset.
- Strong customer service, communication, and problem-solving abilities.
- Excellent interpersonal skills and capability to work independently or collaboratively.
- Highly organized with keen attention to detail.
- Proficient verbal and written English communication skills.
- Ability to perform effectively in a fast-paced environment.
- Adaptability to change.
- Advanced knowledge of Microsoft Office applications, including Excel, Word, and Outlook.
- Post-secondary education or equivalent qualification.
- Minimum one year recent experience in customer service roles related to insurance or pharmaceuticals.
- At least one year of recent administrative experience.
Additional Information
This role is based in Mississauga, Ontario, Canada, and is strictly onsite. It involves strict adherence to confidentiality and health and safety standards. The position requires collaboration with multiple stakeholders and managing diverse administrative and program support duties.
