Role Overview
This remote position is designed to support senior leaders with day-to-day administrative and coordination tasks. The role keeps schedules organized, communication flowing, meetings well prepared, and operational details under control so executives can focus on strategic priorities.
Key Responsibilities
- Keep executive calendars updated by arranging meetings, appointments, and reminders.
- Monitor incoming emails and other communications, respond where appropriate, and route items to the right people.
- Represent executives with clear, polished, and professional written communication.
- Manage internal and external correspondence to ensure timely follow-through.
- Follow tasks, deadlines, and priorities so work is completed on time.
- Track action items from meetings and messages, then ensure they are closed out.
- Support everyday administrative workflows and keep them moving efficiently.
- Document work activities properly so records remain accurate and traceable.
- Organize meeting logistics such as agendas, materials, and virtual meeting setup.
- Capture meeting notes and share concise summaries or next steps afterward.
- Coordinate travel arrangements, lodging, and itineraries when needed.
- Align scheduling and logistics with executive priorities.
- Draft, format, and organize documents, reports, and presentations.
- Maintain orderly digital filing systems and records.
- Help with data entry and information handling tasks.
- Keep documents accurate, well structured, and easy to retrieve.
Requirements
