Position Summary
The Import & Export Logistics Manager will lead a logistics team to manage all aspects of international logistics operations. This role is crucial for ensuring adherence to customs regulations, optimizing shipment efficiency, controlling costs, and fostering strong collaboration with internal and external partners. Key responsibilities include overseeing import/export activities, ensuring customs compliance, managing freight operations, and driving logistics process improvements to support business continuity and operational excellence.
Responsibilities
- Oversee end-to-end international logistics operations, ensuring compliance with customs regulations and efficient shipment execution.
- Lead and develop the logistics team, focusing on performance management, capability building, and fostering a high-performing culture.
- Monitor and interpret international trade regulations, customs laws, and import/export compliance requirements, advising stakeholders on impacts.
- Ensure strict adherence to all customs, trade, and transportation regulations for import and export activities.
- Conduct regular compliance reviews and audits, implementing necessary corrective and preventive actions.
- Manage applications for strategic goods permits and ensure compliance for controlled or dual-use products.
- Supervise tariff classification and ensure accuracy in customs declarations and shipping documentation.
- Manage the submission of import/export permits through government systems like TradeNet and CrimsonLogic.
- Coordinate with customs brokers, freight forwarders, and government agencies for smooth customs clearance.
- Maintain comprehensive customs documentation and audit records.
- Manage end-to-end shipment coordination for both inbound and outbound logistics.
- Ensure proper packaging, labeling, and dispatch of shipments according to company and regulatory standards.
- Collaborate with warehouse and other departments for safe handling, storage, and transportation of goods.
- Track shipment status from origin to delivery, proactively addressing any delays or issues.
- Foster cross-functional collaboration with commercial, production, procurement, finance, and quality teams.
- Manage relationships with freight forwarders, customs brokers, and other logistics vendors, evaluating their performance.
- Support logistics budgeting, forecasting, cost tracking, and reporting to ensure effective cost management.
- Review and manage freight, packaging, and other logistics-related expenses, identifying cost optimization opportunities.
- Verify vendor billing and process freight cost uploads into internal systems.
- Maintain accurate records for customs audits and GST submissions.
- Conduct internal process reviews to identify and address operational gaps.
- Develop and implement best practices to enhance logistics efficiency, compliance, and service levels.
- Prepare logistics and compliance reports for management.
- Drive the development, standardization, and continuous improvement of logistics processes and workflows.
- Establish, monitor, and optimize logistics KPIs for performance, cost, reliability, and compliance.
- Analyze operational data to identify process gaps and implement improvement initiatives.
- Lead or support projects for system enhancements, digitalization, and automation in logistics.
- Support logistics operations in Japan, Korea, and Australia through best practice sharing, process alignment, and compliance audits, which may involve travel.
- Undertake ad-hoc tasks and project support as assigned by management.
Qualifications & Requirements
- Bachelor’s degree in Supply Chain, Logistics, Business Administration, or a related field.
- 6 to 8 years of progressive experience in import/export logistics, customs compliance, or international freight operations.
- 2 to 3 years of experience in a managerial capacity, leading a team of at least five individuals.
- Cold chain logistics experience within the biotech, life sciences, or pharmaceutical sectors is highly desirable.
- In-depth knowledge of customs regulations, HS code classification, TradeNet/CrimsonLogic, GST, and international freight operations.
- Possession of Singapore Customs SC401 certification or equivalent is advantageous.
- Fluency in both English and Mandarin (written and spoken) is essential for handling technical documents and contracts, particularly with China-based teams.
- Proven experience managing relationships with freight forwarders, customs brokers, and third-party logistics providers.
- Strong analytical, problem-solving, and stakeholder management capabilities.
- Proficiency with Shipping or Transportation Management Systems, ERP systems, and Microsoft Office Suite.
- Excellent communication and coordination skills, suitable for a fast-paced environment.
- An open-minded and forward-thinking approach to adopting advanced technologies like AI, automation, and digital tools for operational enhancement.
