About the role
This position combines senior-level administrative support with hands-on operational ownership. You will work closely with the Vice President of Business Services, helping keep priorities clear, decisions moving, and day-to-day execution running smoothly. The role requires strong judgment, discretion, and the ability to act independently while supporting leadership at a high level.
The ideal person is highly organized, forward-thinking, and comfortable operating in a fast-moving environment. You will be trusted with confidential information and expected to anticipate needs, remove roadblocks, and support leadership with professionalism and speed.
Role details
Reporting to: Vice President, Business Services
Location: Dallas Metroplex / remote, with a hybrid requirement of at least one day per week at the Irving headquarters

What you will do
You will support executive priorities, coordinate communication, and help manage key operational tasks. This includes keeping calendars organized around high-value commitments, ensuring meeting follow-through, preparing materials, coordinating travel, and supporting planning for leadership gatherings and offsites. You will also help improve internal processes and handle sensitive matters with complete confidentiality.
Executive support
- Take ownership of the VP’s calendar, making sure important meetings are prioritized and time for focused work is protected.
- Act as a point of coordination between the VP and internal teams so commitments are tracked and completed.
- Prepare, refine, and manage executive-facing communication such as emails, memos, presentations, and board-related documents.
- Build briefing notes, pre-read packets, and post-meeting summaries to keep leadership informed and prepared.
- Stay ahead of needs by identifying issues early and resolving them before they become problems.
- Arrange domestic travel, including flights, lodging, and local transportation.
- Plan and run executive offsites, team events, and leadership meetings from venue selection and logistics through on-site execution.
Operational responsibilities
- Manage expense submissions and reconciliations for selected executives.
- Spot opportunities to streamline work and take part in implementing process improvements.
- Protect sensitive, confidential, and proprietary information with the highest level of discretion.
Qualifications
- At least 5 years of experience in executive support, executive assistant work, operations, strategy, or consulting.
- A bachelor’s degree is preferred, or equivalent relevant experience.
- Experience supporting a C-suite leader or senior executive in a demanding environment.
- Strong written and spoken communication skills with the ability to match the tone and style of the leader you support.
- Excellent organization and prioritization skills with the ability to handle multiple competing deadlines.
- High emotional intelligence and good judgment when navigating people, priorities, and sensitive situations.
- Comfort using productivity and collaboration tools such as Google Workspace, Slack, Notion, and project management software.
- Experience using AI tools to simplify or automate repetitive work.
- Ability to adapt quickly, manage ambiguity, and stay composed under pressure.
- Proven ability to deal with board materials, personnel issues, and strategic initiatives discreetly and professionally.
Preferred background
- Experience in a fast-growing startup, technology company, or professional services setting.
- Exposure to business strategy, operations, consulting, or an MBA.

Compensation and benefits
The base salary range for this role is $80,000 to $110,000, plus bonus eligibility. The company also offers a comprehensive benefits package that includes health, dental, and vision coverage, 401(k), PTO, life insurance, disability insurance, and additional benefits.
