About Transpower and the programme
Transpower exists to enable New Zealand’s energy future, supporting a secure and reliable electricity network that can help deliver a net-zero carbon economy.
A major part of that future is the HVDC link, which connects the North and South Island transmission systems. Because a large share of New Zealand’s electricity comes from renewable sources such as hydro, wind and solar, this connection is increasingly important for balancing variable generation across the country.
The HVDC Upgrade Programme is a long-term initiative designed to replace the three existing high-voltage direct current cables linking the two islands with equivalent cables by 2032, and to add a fourth cable of the same type. The wider programme also includes six additional projects. Its main aims are to deliver value to electricity consumers, ensure the works are suitable for long-term use and technology coordination, and commission the upgrade with minimal disruption to the electricity market.
Role overview
As the Document Controller, you will manage technical and commercial project information end to end, working with both the internal project team and external suppliers and vendors. Your focus will be to make sure documents are received, reviewed, issued, stored and tracked in a controlled, auditable way that supports decision-making, quality and delivery deadlines.
You will also help shape and improve document storage, numbering and traceability practices so the project always has one reliable source of truth throughout its lifecycle. In doing so, you will reduce delivery risk by strengthening information control, audit readiness and contractual compliance.
What you will do
- Oversee the full document control process for project information, including receipt, review, issue, storage and tracking.
- Maintain reliable traceability, version control and auditable records for technical and commercial documents.
- Support the development and ongoing improvement of internal storage, numbering and document tracking systems.
- Coordinate document exchange with project stakeholders, suppliers and vendors.
- Follow up reviewers and suppliers to keep turnaround times on track.
- Maintain registers and reporting that show overdue items, status by package or supplier, and review turnaround times.
- Help manage document-related risks and issues such as missing deliverables, late reviews and submissions that do not meet requirements.
- Support assurance, contractual compliance and audit preparedness through disciplined document management.
What you need
- Confidence using document management systems or structured repositories such as EDMS or SharePoint, along with Microsoft Office tools, especially Excel for registers, reporting and status tracking.
- Experience in document control or records management within a project or delivery environment.
- Familiarity with correspondence, transmittals, registers, archiving or retention, and handover records.
- Strong attention to detail when managing versioning, naming conventions, approval status and traceability.
- Clear written communication skills for coordinating document flow and managing document-related risks and issues.
- Ability to produce accurate reporting and improve document control processes.
- A relevant tertiary qualification in document management, information management, business administration or project support.
Advantageous experience
- Experience with engineering or construction EDMS platforms such as Aconex, TeamBinder or Documentum, including distribution matrices and workflow setup.
- Understanding of documentation requirements across project stages such as FEED, detailed design, procurement, construction, commissioning and handover.
- Experience handling supplier document interfaces such as MDRs, transmittals and correspondence.
- Exposure to close-out documentation including as-builts, commissioning and test records, and handover packs.
- Experience improving templates, workflows, guidance and other document control practices.
Ways of working
