About the Role
HanmiGlobal Saudi is looking for a meticulous Document Controller to oversee and support document management across multiple projects. This role ensures that project documentation is properly received, recorded, distributed, stored, and archived in line with company and client standards. The position requires close collaboration with project teams, consultants, contractors, and other key participants to facilitate smooth and efficient documentation workflows.
Key Duties and Responsibilities
- Manage and update registers, logs, and tracking tools for project documents.
- Handle receipt, review, registration, and distribution of project documents following prescribed procedures.
- Organize and maintain filing systems to guarantee documents are version-controlled and easily retrievable.
- Monitor document revisions, approvals, submissions, and pending actions to ensure timely progression.
- Liaise with project teams and external stakeholders concerning document submissions and related requirements.
- Ensure prompt distribution of documents to relevant recipients.
- Maintain both electronic and physical filing systems with adequate archiving methods.
- Assist in preparing document control reports and provide status updates to project management.
- Adhere to company and client mandates on document control procedures and compliance.
- Support project audits and inspections by supplying required documentation.
- Follow up on missing, delayed, or incorrectly submitted documents to resolve issues efficiently.
- Perform additional administrative and document control duties as requested by project leadership.
Qualifications and Experience
- Bachelor's degree in Business Administration, Engineering, Information Management, or closely related fields.
- Between 3 to 7 years of proven experience in document control roles, especially within construction, engineering, infrastructure, or consultancy projects.
- Proficiency in document management software such as Aconex, SharePoint, or similar platforms.
- Solid understanding of document control practices including revision control, registers, and distribution processes.
- Strong organizational aptitude with keen attention to detail and precision.
- Effective communication and interpersonal skills for coordination across diverse project teams and stakeholders.
- Capability to handle multiple documents, adherence to submission schedules, and meet strict deadlines in a dynamic project environment.
- Experience or familiarity with Project Management Consultancy (PMC), Project Management Office (PMO), construction, or consultancy settings is advantageous.
