Role Overview

The Warehouse Coordinator will oversee all warehouse operations utilizing the ERP system, manage stock levels, ensure orders are prepared and dispatched promptly, and uphold warehouse standards per GMP guidelines. Duties also include maintenance tasks and cleaning activities as assigned.

Key Responsibilities

  • Conduct monthly inventory counts and verify correct labelling of all products and packaging to ensure availability for production.
  • Maintain cleanliness and hygiene of warehouse, yard, and loading areas, adhering to health and safety standards at all times.
  • Complete and maintain detailed cleaning logs for the warehouse space.
  • Secure warehouse access by keeping doors closed except during loading/unloading and locking all external doors when not in use.
  • Manage chemical storage cabinets ensuring safety compliance.
  • Load racking safely and arrange products in designated areas, strictly separating allergens and non-allergens.
  • Keep warehouse floors clean, with safety signage displayed during floor washing.
  • Restrict warehouse access primarily to production personnel where appropriate.
  • Regularly remove unsuitable pallets and ensure proper recycling of cardboard materials, disposing of non-recyclable waste appropriately.
  • Maintain equipment within the warehouse, confirming suitability and operational fitness.
  • Supervise quarantine area upkeep.
  • Receive and verify deliveries using ERP tools, ensuring inventory accuracy and coordinating supply chain logistics.
  • Monitor stock levels to prompt ordering or reordering decisions.
  • Liaise with warehouse and purchasing teams to guarantee proper condition and timely delivery of goods.
  • Prepare shipments by organising orders, necessary documentation, and performing loading and unloading tasks.
  • Inspect incoming and outgoing shipments for quantity and quality compliance, verifying correctness against manifests and invoices.
  • Complete dispatch quality control checks and ensure labels conform to company and customer standards.
  • Manage site vehicle entry and exit safety, maintaining delivery and collection logs.
  • Communicate with carriers regarding shipping arrangements and resolve discrepancies such as damages or shortages.
  • Prepare raw materials batches for production and deliver materials using forklifts or pallet trucks.
  • Support third-party audits by accompanying inspectors.

Qualifications and Experience

  • Bachelor's degree, diploma, certificate, or equivalent experience in Warehouse Management, Logistics, or Supply Chain Management.
  • Minimum two years of relevant experience in shipping and receiving within the industry.
  • Thorough knowledge of GMP standards and health, safety, and environmental regulations.
  • Preferred certifications: DGSA and Lean Six Sigma skills.
