Role Purpose
This position is responsible for driving the complete transition of business processes and services from a client or incumbent provider to delivery teams. The focus is on smooth migration, disciplined governance, and stable operations with as little disruption to the business as possible.
Transition Planning and Execution
- Guide the full transition journey from due diligence through knowledge transfer, ramp-up, and stabilization.
- Create and manage the transition roadmap, timelines, knowledge transfer approach, and ramp-up plan.
- Ensure the work follows the tollgate-based method from TG0 to TG4.
Governance and Reporting
- Set up and maintain a regular governance rhythm, such as daily, weekly, or fortnightly reviews.
- Prepare transition progress updates, KPI and SLA dashboards, and RAID logs covering risks, actions, issues, and dependencies.
- Track issues carefully, escalate when needed, and ensure timely closure.
Stakeholder and Client Management
- Serve as a central point of coordination between the client PMO, program managers, delivery leads, and subject matter experts.
- Support alignment across stakeholders and manage escalations effectively.
- Identify risks early and work proactively to reduce impact.
Knowledge Transfer Management
- Plan and oversee knowledge transfer activities such as train-the-trainer, train-the-customer, shadowing, and reverse shadowing.
- Monitor training completion, certification readiness, progress, and overall effectiveness.
- Confirm readiness for go-live and stabilization.
Resource and Ramp-up Management
- Track hiring and onboarding progress for the transition team.
- Monitor full-time equivalent ramp-up against the planned schedule.
- Coordinate with delivery teams to make sure capacity is ready for key transition milestones.
Risk and Issue Management
- Maintain the RAID register and manage it throughout the transition.
- Identify, assess, and reduce transition risks at an early stage.
- Close critical risks before tollgate approvals are granted.
Transition Artefacts and Documentation
- Develop and keep current SOPs, process maps, RACI matrices, transition trackers, KT plans, tollgate decks, and readiness checklists.
- Ensure documentation is complete, audit-ready, and compliant.
Key Skills and Qualifications
Essential:
- Background in business process services or shared services transitions.
- Solid capability in project or program management.
- Strong client and stakeholder engagement skills.
- Understanding of transition stages and SLA/KPI frameworks.
- Strong focus on governance, reporting, and control.
Preferred:
- Experience in finance, procurement, or HRO domains.
- Familiarity with RAID logs, transition dashboards, and reporting tools.
- Professional certifications such as PMP, Prince2, or Agile are an advantage.

Reporting Structure
The role reports to a Program Manager or Transition Lead and works closely with delivery managers, tower leads, and client stakeholders as part of the core transition and PMO governance function.
