The Role of Proposal Specialist
The Proposal Specialist acts as the Project Manager for each proposal, requiring expertise in coordination, financial management, and strong organizational abilities. This role is crucial in managing the entire proposal lifecycle from initiation to finalization.
Key Responsibilities
- Simultaneously manage multiple RFPs, RFIs, and RFQs, establishing clear priorities and ensuring all deadlines are met.
- Collaborate with clients and internal departments including Sales, Finance, Project Management, Engineering, and Legal to produce proposals that meet client expectations and company standards.
- Develop high-quality proposal documents and coordinate the gathering of all necessary inputs for accurate effort and cost estimations.
- Review contractual and legal terms in close coordination with the Legal department.
- Ensure adherence to regulations pertinent to governmental clients, such as pricing rules, public tendering processes, export controls, classification, and security mandates.
- Liaise with Procurement to obtain and verify material costs and lead times.
- Validate data accuracy and contribute to pricing strategies with the Sales Manager, as well as cost structures with Finance.
- Maintain proactive communication with internal stakeholders, including Sales Managers and Executives, regarding any contractual deviations or requirement gaps.
- Review and accept purchase orders, confirming commercial and key legal conditions, and communicate with clients for any necessary adjustments.
- Organize and lead critical meetings, such as commercial business reviews, to gain executive alignment and approval.
- Serve as a primary link between proposal activities, project launch teams, and billing procedures.
- Ensure all activities and approvals are meticulously recorded in Salesforce (CRM).
- Review and approve proposals drafted by colleagues to maintain consistency and quality.
- Assist Sales Managers with administrative and logistical tasks necessary for securing contracts, including vendor forms and certificates, for both private and public sector clients.
Qualifications and Ideal Candidate Profile
- Possess a Bachelor's degree in Business Administration or a related field.
- Demonstrate experience in proposal development and cost analysis; prior experience with governmental clients is advantageous.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with Salesforce, public pricing regulations, and governmental procurement processes is a plus.
- Exhibit an affinity for industries such as electronics, telecommunications, aerospace, or automotive.
- Be results-oriented with strong communication and relationship-building capabilities, adept at multitasking and prioritizing effectively.
- Possess robust analytical skills and a keen eye for detail.
- Fluency in both German and English, encompassing written and spoken communication.
