Role overview
This contract role is for a Contract Administration Coordinator supporting Greenspace operations in the Waikato region, with the position based in Ngāruawāhia or nearby areas. The role sits within a business that plans, creates, and sustains infrastructure, assets, and facilities across Australia and New Zealand through strong client relationships and practical expertise.
What you will do
You will play an important support role across administrative, financial, and operational activities that keep contract delivery on track. The position involves working with job management systems, customer communication, reporting, subcontractor coordination, and process improvement to help the team operate efficiently.
- Manage month-end processes and prepare claims and reporting materials.
- Serve as a first contact for customer questions and service queries.
- Track compliance with response deadlines and required reporting standards.
- Maintain contract records, including variations, quotations, and formal notices.
- Support contract and tender documentation, including formatting and submission tasks.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Assist with debtor administration, including invoicing support and payment follow-ups.
- Coordinate job workflows through MS Dynamics and AWM.
- Help administer health and safety requirements across job activities.
- Provide day-to-day support to delivery teams, including coordination of phones, passwords, fuel cards, and other operational needs.

- At least 5 years of experience in contract administration.
- Working knowledge of SharePoint for document handling and collaboration would be an advantage.
- Strong capability with the MS Office suite.
- Hands-on experience preparing contract claims and invoices.
- Confident communication skills and the ability to work well with different types of customers.
- Strong planning and prioritisation skills with the ability to meet deadlines.
- Good relationship-building and interpersonal skills at all levels.
