Dispatch Supervisor

Job Overview

The position of Billing and Loading Supervisor in the Logistics department entails overseeing billing, dispatch, loading, transport coordination, inventory control, and safety compliance to meet customer delivery expectations and operational excellence.

Key Duties and Responsibilities

• Ensure on-schedule dispatch of finished products aligned with customer demands and delivery plans.
• Coordinate vehicle placement and availability with transport providers.
• Monitor and enhance vehicle turnaround time to optimize fleet use.
• Track shipment progress to guarantee timely delivery.
• Manage follow-ups on pending vehicle arrangements, unloading updates, and clearance procedures.
• Optimize transport resource utilization to support dispatch goals.
• Oversee safe and effective loading and unloading activities.
• Ensure adherence to proper material handling standards and coordinate with crane operators, warehouse staff, and transporters.
• Ensure loading matches dispatch schedules and prioritizes customer requirements.
• Ensure compliance with Health, Safety and Environment standards, vehicle safety protocols, safe driving practices, and verify proper driver PPE usage.
• Manage inventory storage, identification, traceability, and maintain cleanliness in logistics zones.
• Prepare and manage billing documents such as invoices, e-way bills, delivery challans, packing lists, and dispatch paperwork.
• Update SAP systems with dispatch transactions and maintain logistics documentation and shift reports.
• Collaborate effectively across Sales, Production, Quality, and Supply Chain Management teams.
• Monitor KPIs including Vehicle Turnaround Time, On-Time Delivery, Dispatch Adherence, Logistics Cost, Safety, Inventory Accuracy, and Customer Satisfaction.

Required Skills

Qualifications & Experience

Applicants should possess a graduate degree or diploma in Logistics, Supply Chain Management, Engineering, Commerce, or similar disciplines, with 3 to over 5 years of experience in logistics, warehouse, dispatch, transportation, or supply chain roles.
