Key Responsibilities
- Compile a weekly outbound airwaybill control list for maintenance purposes.
- Manage airline bookings through the Cubeforall system for regular and ad-hoc shipments, following up on the reserved space.
- Create manual master airwaybills (MAWB) on a weekly basis.
- Schedule vendor Electronic Cargo Control (ECC) and manual counter bookings each week.
- Prepare an outbound check-off list for the upcoming week.
- Distribute the outbound MAWB maintenance and check-off lists to operations teams including Hub, Distribution Machines (DM), and Business Centers (BC).
- Audit daily outbound MAWBs for discrepancies and document MAWB utilization records by agent.
- Organize outbound MAWBs from Friday to Sunday sorted by flight.
- Collect and sort export control forms by date from Hub Operations.
- Verify manifest details such as piece count and weight against MAWB and control forms.
- Manually update outbound and inbound check-off lists and enter data into relevant systems.
- Ensure proper filing of documentation at month-end.
- Send agent and airline invoices to the Global Business Services (GBS) team after approval by Head of Department.
- Track and manage yellow and black container seals, distributing to Operations and Security departments.
- Prepare green (commercial) and yellow (UPS Browntail) loader control forms for exports.
- Handle document preparation duties including MAWB, export control forms, pre-alerts, and communication with Airfreight Terminals.
- Generate booking advisories for import volume retrievals.
- Carry out other ad-hoc duties as required.
Candidate Requirements
- Possess at least GCE 'N' or 'O' Levels, or an ITE Certificate.
- Have a minimum of two years experience in a related role.
- Demonstrate strong verbal and written English communication skills.
- Be proficient with computers and Microsoft Office tools, including Excel (pivot tables, VLOOKUP), Word, and PowerPoint.
- Exhibit flexibility and adaptability to changing demands.
- Consent to background and criminal record checks due to working in a security-regulated environment.
