Job Overview
The Travel Coordinator will manage and organize travel logistics for the company's staff and executives, ensuring seamless booking of flights, accommodations, and transportation while adhering to company travel policies and budgets. This position involves collaboration with the Assistant Manager - Travel Desk to enhance travel procedures and secure efficient, budget-friendly travel solutions.
Key Responsibilities
- Arrange and coordinate flight, hotel, car rental, and transport bookings for employees and executives in compliance with company travel guidelines and budget limits.
- Manage travel itineraries, verify bookings, and provide comprehensive travel details and documentation such as itineraries and confirmations to travelers.
- Negotiate and compare travel options to achieve cost-effective deals including discounts and special offers.
- Handle relationships with travel vendors such as agencies, airlines, and hotels; ensure their compliance with company standards and maintain service agreements.
- Assist with monitoring travel expenses, preparing relevant reports, and ensuring expenses stay within allocated budgets.
- Track travel costs and facilitate reconciliation of travel-related expenses with the finance department, keeping documented records for auditing.
- Act as the main contact for employee travel inquiries, assist with visa applications, travel insurance, and resolve travel issues to minimize disruptions.
- Maintain adherence to and update employees about travel policy changes while keeping accurate travel documentation for compliance and audits.
- Organize travel records, booking data, receipts, and facilitate bookings for corporate events such as conferences and retreats.
- Analyze travel expenditures for cost-saving opportunities and recommend improvements for travel efficiency.
- Communicate travel plans and changes clearly with internal teams and support the Assistant Manager in report preparation and trend analysis.
Qualifications
Applicants should possess between two to three years of experience in travel coordination or related administrative roles, ideally within corporate or retail environments.
