About the Role
We are seeking a Tendering Specialist to manage the entire process of government tender submissions specifically within advertising, media, branding, and communications domains. This position requires diligent research, preparation, and timely filing of bids in alignment with government procurement protocols while collaborating closely with creative, media, and finance teams to craft winning proposals.
Key Responsibilities
- Regularly track government tender opportunities using portals such as Government e-Marketplace (GeM), Central Public Procurement Portal (CPPP), and related state-level and departmental websites.
- Maintain a detailed calendar and tracker for all tender deadlines and evaluate eligibility and feasibility for submitted projects.
- Compile comprehensive technical and commercial documents adhering strictly to RFP requirements, coordinating inputs from internal creative, media planning, cost analysis, and compliance teams.
- Ensure all statutory documentation such as EMD receipts, MSME certifications, turnover proofs, PAN, and GST registrations are complete and valid.
- Submit tenders either online or offline within stipulated timelines and follow-up on any clarifications or pre-bid engagements with government authorities.
- Interface with colleagues across Creative, Media Planning, Finance, Legal, and Operations departments ensuring smooth inter-team collaboration and documentation control.
- Maintain organized records on company credentials, empanelment certificates, case studies, and compliance files.
- Assist in contract documentation and support project execution teams post-award including billing and invoice preparation as per government standards.
Required Skills and Competencies
- In-depth understanding of government tendering procedures and procurement regulations.
- Hands-on experience navigating government e-procurement platforms, especially GeM.
- Excellent skills in document preparation, drafting, and analytical evaluation.
- Ability to manage multiple deadlines with strong attention to detail.
- Proficiency with Microsoft Office tools including Word, Excel, and PowerPoint.
- Capability to effectively liaise and coordinate among diverse internal departments.
Qualifications & Experience
- Bachelor's degree in Business Administration, Marketing or a relevant field.
- Between 2 to 5 years’ experience managing tenders, preferably within advertising, media, or communication sectors.
- Proven experience in handling government RFP processes is imperative.
Performance Indicators
- Quantity of tenders identified and submitted relevant to company capabilities.
- Successful bid-to-win ratio for submitted tenders.
- Accuracy and compliance in tender documentation.
- Consistent, timely submission of bids within deadlines.
