Job description
Position Overview
Q-Line Biotech Limited seeks a meticulous and well-organized Tender Executive to oversee the complete cycle of tender management including identification, documentation, submission, and tracking of tenders. This role is based in Transport Nagar, Lucknow and is full-time and onsite. Preference will be given to candidates with a background in the Healthcare or Medical Device industry.
Key Responsibilities
- Monitor various government and procurement portals to discover suitable tenders.
- Keep track of tender notifications, submission deadlines, amendments, and corrigenda.
- Maintain and update a comprehensive database detailing all tenders and their statuses.
- Manage Earnest Money Deposit (EMD) activities including deposit, refund, forfeiture, and pending statuses.
- Prepare tender documentation as assigned by senior staff.
- Liaise with Finance, Technical, Operations, and Administration departments to collect necessary information and documents.
- Verify tender requirements ensuring all mandatory details and documentation are included prior to submission.
- Ensure tender documents meet standards of accuracy, completeness, and compliance.
- Support preparation and submission of both technical and commercial tender dossiers.
- Maintain filing of submitted tenders, acknowledgments, correspondence, and EMD records.
- Track tender progress post-submission and facilitate follow-up actions.
- Generate regular Management Information System (MIS) and status reports concerning tenders for senior management.
- React promptly to tender deadlines, clarifications, and related procurement updates.
- Safeguard confidentiality and accuracy of company and tender documentation.
- Perform additional tender-related tasks as assigned by management.
Required Qualifications and Skills
- Experience in tender management, government procurement, or related documentation is advantageous.
- Fresh graduates with excellent documentation and MS Office proficiency may also be considered.
- Advanced skills in MS Office tools with an emphasis on Excel and Word.
- Exceptional skills in documentation and records management.
- Keen attention to detail and precision.
- Effective verbal and written communication.
- Strong coordination skills and persistence in follow-ups.
- Capability to handle multiple tender processes simultaneously.
- Excellent time management within stringent timelines.
- Ability to interpret and adhere to tender requirements and compliance rules.
- Robust organizational and analytical capabilities.
