Tender Executive

Role Overview

We are seeking a meticulous Tender Executive to oversee government and private tendering processes related to ELV and system-integration domains, including CCTV, fire alarm, access control, audio-video, networking, display, and associated technologies.

Key Responsibilities

• Proactively search and identify suitable tenders via GeM, CPPP, and various e-tendering portals.
• Analyze tender documentation, including eligibility criteria, technical specs, and commercial conditions.
• Prepare detailed technical and commercial bids, Bill of Quantities (BOQs), and all necessary supporting paperwork.
• Ensure accurate and timely submission of bids by handling online uploads before deadlines.
• Liaise effectively with sales, technical, procurement, and finance teams for seamless coordination.
• Gather quotations and documentation from Original Equipment Manufacturers and vendors.
• Prepare essential tender-related documents like Earnest Money Deposit (EMD), tender fees, declarations, authorizations, and compliance statements.
• Participate in pre-bid meetings and diligently track amendments, clarifications, and tender outcomes.
• Maintain comprehensive tender records and trackers for ongoing monitoring.
• Assist in reverse auctions, order management, and post-bid follow-ups.

Qualifications and Skills

• Familiarity with GeM and government e-procurement platforms.
• Proficiency in MS Excel, Word, and email communications.
• Excellent documentation and multi-departmental coordination capabilities.
• Understanding of tender documentation, BOQs, and commercial pricing calculations.
• Capability to manage multiple tender processes simultaneously while adhering to deadlines.
• Strong written and verbal communication skills.
• Graduation in any discipline, with preference for candidates experienced in ELV, CCTV, fire alarm, networking, audio-video, IT, or system integration sectors.
