About the Role
The Technical Assistant position involves delivering comprehensive administrative and executive support to the Head of Construction & Projects along with the broader Engineering & Construction team. Duties focus on streamlining administrative tasks, coordinating personnel and resources, managing documents, and ensuring effective communications both internally and externally to facilitate smooth departmental functions.
Key Responsibilities
- Adhere to company health, safety, and environmental policies along with industry best practices.
- Maintain strict confidentiality around company and personnel information.
- Manage executive calendars, schedules, correspondence, meetings, travel arrangements, and logistics.
- Coordinate communication flows between management and relevant stakeholders.
- Prepare various reports, presentations, and administrative documents as needed.
- Arrange travel logistics including accommodation, transport, and related support.
- Provide general administrative assistance such as document preparation, filing, records management, and maintaining spreadsheets.
- Organize meetings, departmental communications, and events efficiently.
- Maintain databases related to employee leave, attendance, personnel records, and workforce planning.
- Support onboarding and offboarding processes including inductions, training, IT access, PPE allocation, and equipment requests.
- Handle processing of employee expense claims and coordinate contractor workforce assignments.
- Verify that personnel hold valid certifications, qualifications, and have completed all mandatory training.
- Assist workforce mobilization efforts across different work locations and arrange training-related travel.
- Manage workspace allocation and provide general support for facility needs.
- Maintain departmental communications and update intranet content.
- Oversee document management including distribution, registration, tracking, and ensuring timely actions.
- Keep document registers compliant with company standards and procedures.
- Engage regularly with employees, contractors, and external parties within an engineering and construction project setting.
- Mostly office-based with occasional site visits and travel; flexibility during standard business hours to support operations.
Qualifications & Experience
- Diploma, Higher Certificate, or equivalent qualification.
- At least 10 years of experience in administrative or support roles.
- Minimum of 5 years working in engineering, construction, operations, or large-scale project environments.
Skills & Competencies
- Highly skilled in administrative support, coordination, and organization.
- Experienced with document control systems and information management.
- Fluent English communication, both verbal and written.
- Strong interpersonal skills with a focus on stakeholder management.
- Adept at managing multiple tasks efficiently under pressure.
- Excellent time management and problem-solving capabilities.
- Self-driven, flexible, and an effective collaborator within teams.
- Proficiency in Microsoft Office suite and other business productivity software.
- Capable of quick adaptation to new tools and technologies.
