Job description
Role Overview
The Senior Proposal Specialist will support the business development team by preparing proposal responses for key, complex opportunities, collaborating closely and often independently with clinical experts to create tailored, detailed proposals and budgets for Sponsors. This role involves participating in client meetings to assist with budget reviews and providing strategic insights on budgeting methodologies.
Key Responsibilities
- Thoroughly understand and communicate proposal requirements.
- Collaborate with various internal teams to develop proposal content aligned with RFP/RFI.
- Summarize and compile essential data to support proposal preparation.
- Document all relevant assumptions clearly.
- Ensure proposal submissions meet Sponsor expectations and quality standards.
- Maintain and update proposal resources including templates, graphics, and experience summaries.
- Assist Business Development Manager with responding to RFIs.
- Support Statement of Work (SOW) drafting.
- Generate initial costing assumptions and populate costing tools, then refine in conjunction with clinical experts.
- Collect pre-award budgets from vendors and clinical sites.
- Validate consolidated budgets before executive review.
- Manage amendments and updates to proposals as needed.
- Understand and confidently explain final costing to all stakeholders.
- Assist project teams with change order management.
- Facilitate internal bid/no bid decisions, strategy meetings, and project transitions.
- Occasionally support bid defenses and client presentations.
- Provide assistance to client-facing teams regarding contracts and related queries.
- Coordinate with clinical and site feasibility teams where necessary.
- Contribute to continuous improvement by offering feedback and developing BD tools.
- Generate business development reports when requested.
- Represent the company at conferences, providing booth and meeting support.
Qualifications and Requirements
- 1 to 3 years of experience in a related role required; 4 to 6 years preferred.
- Minimum post-secondary certificate or diploma required; Bachelor’s degree preferred.
- Fluency in English with strong verbal and written communication skills.
- Proven experience in budget development within CROs, clinical trials, or analogous regulated and complex settings is highly preferred.
- Scientific degree or diploma is an advantage.
- Mandatory previous experience with budgeting for CROs and clinical trials.
- Advanced proficiency in Excel and good knowledge of other Microsoft Office applications.
- Strong attention to detail and ability to think logically and process-oriented.
- Good project management skills.
