Role Overview
The Senior Payroll Officer is responsible for ensuring the accurate, prompt, and compliant execution of payroll functions while also supporting the Accounts Payable operations. This role acts as the internal controller for payroll processes, controls, reconciliations, and reporting, collaborating closely with an external payroll vendor, Human Resources (HR), and Finance teams to deliver precise and compliant payroll results.
Key Responsibilities
- Oversee the entire payroll workflow by verifying wages, salaries, allowances, and deductions processed by the external payroll provider.
- Validate and review payroll outputs before finalization; investigate and resolve any discrepancies efficiently.
- Maintain accurate leave records, allowances, and payroll entries that reflect correctly in payroll outcomes.
- Serve as the primary contact for employee payroll inquiries and escalate HR-related payroll concerns as necessary.
- Guarantee payroll costing accuracy by preparing and posting monthly payroll, leave provision, and short-term incentive (STI) journals.
- Prepare, review, and file payroll tax returns ensuring ongoing compliance with payroll tax regulations.
- Conduct monthly payroll balance sheet and clearing account reconciliations to ensure alignment between payroll systems and financial ledgers.
- Prepare and analyze monthly leave liabilities, investigating trends and irregularities.
- Examine payroll cost fluctuations and provide detailed explanations to Finance and management.
- Maintain payroll governance materials such as documentation, checklists, and internal controls.
- Stay updated on payroll-related laws, awards, and policies, implementing necessary changes into payroll processes.
- Support Accounts Payable by assisting invoice processing, coding, approvals, payment runs, and vendor reconciliations.
- Manage and respond to queries received via the Accounts Payable mailbox, providing backup during peak times or staff absences.
- Help maintain Employee Share Scheme (ESS) data alignment between payroll and general ledger.
- Support Fringe Benefits Tax (FBT) compliance, including data upkeep, analysis, and annual return preparations.
- Provide documentation and analysis during internal and external audits and reporting cycles.
- Identify opportunities for process enhancement in payroll and Accounts Payable activities to uplift efficiency and controls.
- Participate in payroll and AP projects such as system upgrades and compliance initiatives.
- Generate ad hoc reports and analysis for Finance, HR, and management decision support.
- Build strong partnerships with Finance, HR teams, external payroll providers, and other relevant stakeholders.
- Adhere to company policies, procedures, and core values in all tasks.
- Perform other lawful and reasonable duties as required within the scope of the role.

Candidate Profile
- Proven hands-on experience within payroll and Accounts Payable functions.
- Thorough understanding of payroll compliance requirements, reconciliations, and integration with general ledger systems.
- Strong analytical capabilities paired with meticulous attention to detail.
- Capacity to juggle multiple priorities and meet deadlines in a fast-paced environment.
- Excellent communication skills for effective interaction with employees, vendors, and internal teams.
- A proactive and self-driven approach with a focus on continual process improvements.
- Experience with Pronto or comparable ERP systems is advantageous.
- Background in mining or resource sectors is desirable.
- Intermediate ability with Microsoft Excel, including formulas, lookups, and data analytics.
