Job Purpose

The Senior Document Controller will oversee the management and control of project documentation across all project stages including Concept, FEED, EPC, procurement, construction, commissioning, and handover. This role ensures that engineering, vendor, contractor, client, and project records are processed, controlled, distributed, and archived in line with ADNOC, PMC, and project procedures while safeguarding data integrity, traceability, and timely flow among multidisciplinary teams.

Key Responsibilities

  • Develop, implement, and uphold project document control protocols aligned with ADNOC and PMC standards.
  • Handle document control tasks throughout Concept, FEED, EPC, procurement, construction, commissioning, and project closing phases.
  • Register, categorize, distribute, transmit, and archive all relevant documents from engineering, vendors, contractors, and clients.
  • Maintain accurate document numbering, revision tracking, metadata, and status monitoring.
  • Coordinate the submission, review, approval, and transmittal of deliverables among PMC, ADNOC, EPC contractors, licensors, vendors, and other stakeholders.
  • Track document review cycles and actively seek timely approvals.
  • Maintain registers such as document registers, master indexes, deliverable trackers, and transmittal logs.
  • Ensure all project documents are uploaded, updated, and managed within the authorized Electronic Document Management System (EDMS).
  • Produce regular document control reports including KPIs, overdue reviews, and management dashboards.
  • Support engineering teams by facilitating access to current document revisions and managing superseded documents.
  • Coordinate vendor document reviews ensuring contract compliance for submissions.
  • Verify completeness and quality of documents before distribution.
  • Assist construction and commissioning teams by controlling distribution of approved drawings and technical materials.
  • Manage project records, final documentation, turnover dossiers, and project close-out archives.
  • Ensure adherence to ADNOC document control standards, ISO quality requirements, and company policies.
  • Provide mentorship and guidance to Document Controllers and project administration staff.
  • Maintain effective collaboration with Engineering, Procurement, Construction, Commissioning, Quality, Project Controls, and Client teams.

Minimum Qualifications & Experience

  • Bachelor's degree in any field or an equivalent qualification from an accredited university.
  • At least 10 years of experience managing Electronic Documentation Management Systems in Oil & Gas or Petrochemical projects, with a preference for a minimum of 5 years in the GCC region.
  • Proven support experience across Concept, FEED, EPC, Construction, and Commissioning phases.
  • Required ADNOC project experience.
  • Offshore project experience is essential.
  • Experience working with PMC is preferred.
  • Experience managing multidisciplinary engineering documentation for both Onshore and Offshore facilities.

Technical Competencies

  • In-depth knowledge of engineering document control processes and document lifecycle management.
  • Extensive experience with Electronic Document Management Systems such as Aconex, SharePoint, Documentum, OpenText, or equivalent platforms.
  • Strong understanding of document numbering schemes, revision control, transmittals, workflow processes, and document distribution methods.
  • Proficient in Microsoft Office applications, especially Excel and Word.
  • Experienced in preparing document registers, Master Deliverable Registers (MDRs), status reports, and KPI reporting.
  • Familiarity with ISO 9001 quality management systems and records management requirements.
  • Capable of handling large volumes of engineering documentation across multiple contractors and disciplines.
