Overview
The Senior Coordinator in People Operations serves as the primary HR point of contact stationed onsite, responsible for overseeing daily HR operations and offering frontline support to employees for all HR-related inquiries. This position manages the onboarding process and continues to support employees throughout their tenure, ensuring documentation is accurate and compliant with governmental standards. As part of a global team, the role is designed to deliver consistent HR services that enhance employee satisfaction through system training and process adherence, while also managing the implementation of new digital HR tools.
Responsibilities
- Manage hiring paperwork, ensuring physical documents and wet signatures are collected appropriately.
- Coordinate a thorough onboarding experience, including site tours and handover of business tools and assets.
- Liaise with Hiring Managers to confirm the completion of onboarding steps.
- Conduct training sessions for new hires on People Experience Platform (PEP) tools and other HR systems.
- Encourage and monitor effective use of HR systems such as MyServices, iCIMS, Microsoft Teams, and Smiles by training employees and collaborating with stakeholders to increase adoption.
- Maintain compliance by keeping all legally mandated documentation, including current health certificates, and conducting regular audits aligned with legal and governmental demands.
- Support government inspections onsite, address related inquiries, and report findings to the legal and employee relations teams.
- Communicate outcomes from internal investigations related to employee relations, compliance, and ethics, ensuring employees provide acknowledgment through both wet signatures and system records.
- Facilitate communication initiatives and encourage participation in organizational activities.
- Manage the employee offboarding process by tracking clearances via myServices and liaising with relevant parties to ensure proper completion and documentation.
- Support learning and development activities by coordinating logistics for training sessions, tracking compliance-related training participation, and ensuring venues and resources are prepared.
Qualifications
- Possess between one to three years of relevant experience, ideally within HR operations.
- Demonstrate strong customer focus and orientation.
- Have technical knowledge and functional competence with various HR tools and systems.
- Be familiar with HR operations or shared service environments.
- Exhibit agility and skills in change management.
- Possess effective influencing skills and a proven record of delivering excellent service.
