With expanding projects and operations, the head office seeks a competent administrative professional to facilitate seamless daily functions.
Position Overview
The Senior Admin Executive will manage the administrative activities of the head office, ensuring efficient coordination between office operations, vendors, visitors, procurement, and support to various internal teams including sales, pre-sales, and management. This role necessitates a proactive and organized individual capable of independently managing administrative workflows.
Key Responsibilities
- Manage daily administrative tasks including office cleanliness, utilities, facilities maintenance, and coordination with housekeeping, security, and maintenance teams.
- Handle client and visitor coordination by scheduling visits in sync with Sales and Pre-Sales teams, preparing meeting spaces, providing hospitality, greeting visitors, and maintaining visitor logs.
- Oversee procurement of office supplies such as groceries, stationery, and housekeeping materials by conducting vendor price comparisons, raising purchase requests, negotiating terms, maintaining stock, and ordering in advance to prevent shortages.
- Coordinate with various vendors (electricians, plumbers, IT support, maintenance) to ensure timely repairs and services, validate invoices, facilitate approvals, and create a dependable vendor database.
- Support management and internal teams by assisting the Managing Director and HR with administrative tasks and scheduling, along with coordinating client-related activities for sales teams and ensuring smooth internal communication.
- Prepare and submit purchase invoices to accounts, maintain detailed records of procurement activities, and generate weekly administrative reports covering purchases, expenses, vendor interactions, and office requirements, ensuring adherence to company policies.
- Manage transportation and logistics including driving two-wheelers (mandatory) and four-wheelers (preferred) for urgent procurement or office needs, along with handling courier services and field visits as required.
Candidate Profile
- Education: Any graduate degree; background in administration or management is preferred.
- Experience: At least 2 years in office administration, procurement, vendor management, or related roles.
- Essential Skills: Expertise in negotiation and procurement processes; familiarity with vendor management, particularly technical service vendors like electricians; strong observational, planning, and follow-up capabilities; proficient in MS Office (Excel, Word), email communication, and documentation; excellent communication, interpersonal, organizational skills; ability to multitask and work independently.
- Additional Requirements: Mandatory ability to drive two-wheelers; four-wheeler driving skills are advantageous; positive demeanor, dependable work ethic, and high reliability.
