Position Overview

We are inviting applications for a permanent, full-time Scheduling Officer to join our Stafford team. This role involves coordinating client and staff schedules using the Procura Client Information System to ensure efficient service delivery that aligns with client needs and organizational goals.

Key Responsibilities

• Oversee and manage scheduling of clients and staff through the Procura system.
• Analyze data related to clients, staffing, funding, and compliance to optimize resource allocation.
• Support and supervise administrative team members by assigning key scheduling tasks.
• Handle daily schedule adjustments including staff leaves and changes in client services following standard procedures.
• Communicate timely scheduling updates and changes to all relevant personnel and stakeholders.
• Address client support and scheduling challenges promptly by collaborating with teams to find appropriate solutions.
• Maintain comprehensive client records, filing, and archiving per organizational policies.
• Ensure compliance with privacy laws and information management standards in all scheduling and administrative tasks.
• Engage effectively with internal and external stakeholders to deliver excellent customer service and resolve scheduling issues.
• Contribute to meeting service and business objectives while managing operational and budget restrictions.
• Identify opportunities to enhance scheduling processes through audits, reviews, and continuous improvement efforts.
• Provide training, mentoring, and knowledge-sharing within the administration and scheduling teams, including Procura refresher sessions.

Candidate Requirements

• Possess a valid Aged Care Worker Screening Check.
• Must have current National Police Check or NDIS Worker Screening Clearance (mandatory for services involving NDIS clients).
• Submit a statutory declaration if previously a citizen or permanent resident of another country after age 16.
• Hold a current driver's license and have access to a reliable vehicle.
• Be encouraged to maintain up-to-date immunizations recommended for the role according to organizational guidelines.
