Role Overview
As a Sales Operations Senior Executive within Asia Sales Operations, you will be responsible for managing the full sales order lifecycle for Asia’s distributor and commercial channel partners. Your duties include order processing from receipt to delivery, dispute and returns resolution, and detailed performance reporting. You will collaborate closely with Commercial Planning, Finance, Operations teams, and 3PL warehouses to maintain accurate master data, comply with order processes, and deliver top-tier distribution service.
Key Responsibilities
- Handle sales order processing for both back-catalogue and new releases, ensuring validation, accuracy, and compliance.
- Serve as the main contact for order administration during coverage periods (e.g., planner absences), sustaining service continuity.
- Manage EDI order transmission issues by investigating errors, coordinating solutions, and confirming order reprocessing.
- Maintain and update purchase order forms, pricing and assortment lists, and presell SKU configurations for accuracy across systems.
- Coordinate with 3PL warehouses to prepare and verify outbound deliveries, particularly for Asia distributor launches ensuring day-one readiness.
- Manage distributor and transport bookings by scheduling deliveries with key distributors and coordinating shipment bookings with freight forwarders.
- Work with the Master Data Governance (MDG) team for operational continuity and back up distributor data workflows during peak times or resource shortages.
- Support monthly demand and supply planning by updating production orders and inventory data within the Rolling Forecast (RF) file.
- Align rework order schedules and product launches to ensure inventory readiness and smooth market flow.
- Oversee distributor dispute and returns issues by addressing order queries, reprocessing returns, and managing damaged stock recoveries.
- Drive process improvements and project deliveries to optimize operational workflows and support system upgrades like SAP and SharePoint.
- Develop and maintain KPI reporting measuring order turnaround, aging, and launch readiness, providing actionable insights.
- Maintain product serial number records to ensure traceability for customer registration and warranty support.
- Facilitate Free Trade Agreement (FTA) processes, handling documentation and certificates to secure preferential duty rates on shipments.
Desired Qualifications and Experience
- Minimum 6 years in Sales Operations or Sales Administration, preferably with South Asia distributor and channel partner exposure.
- Strong expertise in end-to-end order management, including compliance reviews and backorder handling.
- Proficiency with ERP/order management software such as SAP, and familiarity with EDI processes and troubleshooting.
- Good knowledge of outbound logistics, including coordination with 3PL warehouses, delivery preparation, and transport booking processes.
- Experience managing dispute and returns procedures, with escalation and root cause analysis skills.
- Excellent analytical abilities for KPI definition, reporting, and improvement recommendations.
- Superior stakeholder engagement and communication skills, capable of influencing teams and mentoring juniors.
- Proven ability to work autonomously, handle multiple priorities, and implement improvements within existing policies.
Additional Preferences
- Experience with workflow automation platforms such as SAP and SharePoint, and sales operations system integrations.
- Familiarity with master data governance processes and data quality management.
- Background in continuous improvement practices such as Lean or Six Sigma applied in sales operations or supply chain contexts.
- Experience in consumer electronics, gaming, or dynamic new product launch settings.
