About the Role
The Ardilaun Hotel, a 4-star establishment in Galway, is seeking a dedicated full-time Sales and Events Coordinator to handle meeting and event inquiries efficiently and convert them into confirmed bookings. Operating Monday to Friday, this position ensures seamless guest satisfaction from initial contact to the event's conclusion, adhering to hotel policies and procedures regarding reservations and operations. Reporting directly to the Sales Manager, this role is integral to enhancing the hotel's meetings and events offerings.
Responsibilities
- Act as the primary liaison for all meeting and event inquiries, ensuring prompt responses and thorough follow-up.
- Organize and conduct property tours showcasing meeting spaces maintained to a high standard.
- Manage administrative duties including updating booking information in Hotsoft and Tablepath systems, and coordinating communications with relevant hotel departments.
- Maintain clear communication channels with internal teams to facilitate smooth booking processes.
- Oversee the processing of booking deposits, event confirmations, contracts, and billing procedures.
- Manage relationships and data within third-party booking platforms, responding swiftly to new requests.
- Negotiate client contracts, ensuring agreements meet budget constraints and hotel capabilities.
- Collaborate across operations, food and beverage, and sales departments to enhance event services and create new offerings.
- Develop strategic initiatives for meetings and events, including promotional efforts, menu innovations, and incorporating current trends.
- Support the organization and promotion of corporate and other events, reinforcing the hotel’s status as a premier meeting venue.
Requirements
- Proven excellence in customer service.
- Previous experience in a similar sales or events coordination role is preferred.
- Strong verbal and written communication skills are essential.
- Ability to manage multiple priorities, meet deadlines, and maintain meticulous attention to detail.
- Proven ability to work collaboratively with diverse teams within a hospitality environment.
