Role Overview
The Reservations Officer, based onsite in Dar es Salaam, is responsible for managing all types of booking inquiries and confirmed reservations encompassing rooms, events, and group stays. Communicating through phone, email, and online booking channels, the officer provides accurate details on availability, pricing, and packages. They update reservation systems promptly and collaborate with various teams—operations, events, and front office—to guarantee seamless guest arrivals and accommodate special requests for personalized experiences.
Key Responsibilities
- Receive and manage booking requests for accommodation, events, and groups via multiple channels.
- Provide detailed and timely information about room availability, rates, and special packages.
- Keep reservation systems updated with confirmed bookings and changes.
- Work closely with operations, event coordinators, and front desk staff to facilitate guest check-ins and special requirements.
- Follow up with prospective guests to support sales efforts and maximize bookings.
- Prepare and issue booking confirmations and invoices accurately and promptly.
- Maintain organized records of reservations and guest profiles for reference and reporting.
- Deliver professional customer service addressing booking-related questions and resolving concerns.
- Assist in promoting special offers, seasonal packages, and upselling additional services to enhance guest satisfaction and revenue.
Requirements and Qualifications
- Experience managing reservations and booking systems in hospitality or related fields.
- Excellent communication skills and ability to respond courteously and efficiently to customer inquiries.
- Ability to sell and upsell accommodation packages, events, and added services.
- Knowledge of airline ticketing or travel industry experience is advantageous to support guest travel coordination.
- Strong organizational ability with attention to detail and accuracy in data entry.
- Proficiency in English is required; speaking Swahili and other languages is a plus.
- Comfortable using email platforms, office software, and online booking tools.
- Hospitality, travel, or event industry experience is highly preferred.
- Educational qualifications such as a diploma or degree in Hospitality Management, Tourism, Business, or a related field are favored.
