Job description
Job Overview
The Receptionist serves as the initial point of contact at the dealership, welcoming visitors and customers while delivering outstanding customer service. This role involves greeting clients, assessing their requirements, and directing them to the appropriate Sales or Service personnel within the dealership.
Key Responsibilities
- Assist colleagues in Sales, Service, and administrative areas with customer interactions and support, including organizational and clerical duties.
- Manage incoming customer inquiries by promptly connecting them to the relevant contact person to ensure professional handling.
- Receive and guide customers to the appropriate team members, providing alternative service options for those without appointments.
- Proactively inform and offer appointment alternatives to walk-in customers if available within the dealership.
- Collect and record customer information using the dealership's Dealer Management System (DMS) or other customer databases, especially for walk-in clients.
- Assess Certified Service Advisors' availability, allocate walk-in customers accordingly, and guide them to waiting areas or appropriate personnel.
- Update, review, and add new customer and vehicle details within the internal DMS system.
- Monitor any pending service tasks or incomplete work orders for customers arriving without prior appointments.
- Obtain and explain data privacy declarations to customers, ensuring comprehension and compliance.
- Organize required documentation and discuss necessary paperwork with customers.
- Accept vehicle keys and related documents from customers.
- Provide a welcoming reception, emphasizing the advantages of the services offered.
- Support the creation or management of preliminary or workshop orders for walk-in customers by updating vehicle and customer records accordingly.
Work Experience
Candidates should possess between one and three years of experience within the automotive sector.
Educational Qualification
A high school diploma is required for applicants.
