Job description
Position Summary
The Purchasing Clerk will be responsible for managing food inventory calculations, orders, and associated costing. They must keep clear and orderly records, ensuring all reports and invoices are accurately filed and stored. Using computer software, the clerk will post invoices, perform inventory audits to assess stock levels, and prepare requisition forms for inventory replenishment. Keeping the manager or supervisor informed about low stock levels is essential. Additionally, the clerk verifies and tracks inventory received, completes related reports and logs, and reconciles shipping invoices with receiving reports for accuracy.
The role involves receiving, unloading, and processing deliveries while rejecting any damaged, incorrect, or unacceptable goods. The clerk also manages vendor delivery issues and oversees the return process. Strict compliance with food safety and handling guidelines across all food-related operations is mandatory. Monitoring PAR levels for all food items to maintain adequate stock is part of the duties.
Work Environment and Responsibilities
The clerk must report any accidents, injuries, or unsafe working conditions to management and complete required safety trainings and certifications. Adherence to company policies, maintaining a clean and professional personal appearance, safeguarding confidential information, and protecting company assets are vital. Effective communication is necessary, including clear verbal interactions, proper telephone etiquette, and accurate preparation and review of written documents.
The role requires fostering positive working relationships, contributing to team goals, and responding appropriately to colleagues' concerns. Complying with quality assurance standards, visually inspecting tools and equipment for defects, and efficiently utilizing computers or point of sale systems to enter or retrieve work-related data are important tasks.
Physical demands include standing, sitting, or walking throughout shifts, handling objects weighing up to 50 pounds, and moving through confined, uneven, or slippery areas. The clerk should be able to reach overhead and below the knees, involving bending, twisting, pulling, and stooping. Additional reasonable duties may be assigned by supervisors.
Preferred Qualifications
- Education: High school diploma or equivalent (G.E.D.)
- Experience: Minimum of one year in a related field
- No supervisory experience required
- Licenses or certifications are not mandatory
