Purchase Manager

About the Role

This opportunity is for a Purchase Manager at PinPlay, a family entertainment center operating in gaming, bowling, restaurant, and hospitality sectors within Kolkata. The role focuses on managing all procurement activities for PinPlay’s locations in Alipore and Axis Mall (New Town), ensuring the timely availability of materials across Food & Beverage, Gaming, Technical, Housekeeping, Administration, and other operational departments.

Key Responsibilities

• Oversee end-to-end procurement processes including purchase planning, vendor negotiation, purchase order issuance, and cost management aligned with the operational needs of multiple departments and sites.
• Manage purchasing of Food & Beverage items such as fresh produce, groceries, dairy, bakery, packaged foods, and kitchen supplies while maintaining quality, freshness, and hygiene standards and collaborating closely with kitchen and F&B teams to control costs and minimize waste.
• Procure technical and maintenance materials related to gaming equipment, electrical, mechanical, plumbing, and maintenance supplies, ensuring availability of critical spares and coordinating with technical teams on specifications and warranty matters.
• Handle purchasing of general operational necessities like housekeeping materials, crockery, packaging, uniforms, stationery, office accessories, furniture, safety equipment, and marketing supplies to support the facility’s smooth functioning.
• Develop and manage a diverse supplier base through evaluation, negotiation, onboarding, and performance assessments ensuring competitive pricing, product quality, timely delivery, and service responsiveness.
• Implement cost control measures by conducting market surveys, benchmarking prices, negotiating favorable terms, and identifying alternate sources to optimize procurement spend without compromising operational quality.
• Coordinate inventory management efforts with Stores and relevant departments to monitor stock levels, plan reorder points, manage inter-location transfers, and conduct periodic inventory reviews.
• Maintain meticulous procurement documentation and manage purchase records, including purchase requisitions, quotations, comparative statements, purchase orders, goods receipt notes, invoices, and vendor agreements. Support invoice verification and payment coordination with Accounts.
• Prepare comprehensive purchase reports (MIS) covering purchase values, category/location/vendor-wise analysis, purchase price variances, outstanding orders/deliveries, emergency purchases, vendor performance, and cost savings.
• Ensure compliance with company purchase policies and procedures, maintain confidentiality of commercial information, and promote ethical purchasing practices across all activities.
• Manage procurement operations across multiple locations by consolidating requirements for efficiency, maintaining uniform standards, and facilitating urgent procurement needs.

Qualifications & Experience

• Graduate degree in Commerce, Business Administration, Supply Chain Management, Hotel Management, or related fields.
• Additional diploma or certification in Purchase, Materials Management or Supply Chain Management is advantageous.
• 5 to 8 years of relevant experience in procurement or purchase management, preferably within restaurants, hotels, quick service restaurants (QSR), clubs, gaming zones, amusement centers, family entertainment centers, or hospitality industries.
