Job description
Position Overview
We are looking to hire a detail-oriented and highly organized Proposal Specialist to join a rapidly expanding construction company. The role involves managing the creation and coordination of high-quality proposals, qualifications packages, presentations, and various business development documents.
Key Responsibilities
- Manage the entire proposal lifecycle beginning with reviewing RFPs/RFQs through to the final bid submission.
- Create and format professional proposals primarily using Adobe InDesign.
- Analyze bid documents to understand submission requirements, deadlines, and evaluation criteria.
- Collaborate with internal teams including estimating, operations, business development, and leadership to collect project details, resumes, technical content, and supporting documents.
- Develop and update proposal templates, project profiles, resumes, company information, and related marketing materials.
- Ensure all proposals maintain visual consistency, accuracy, and adhere to corporate branding guidelines.
- Maintain proposal schedules and ensure timely contributions from all team members.
- Edit and proofread content to improve clarity, grammar, and consistency.
- Support creation of presentations, interview materials, and other business development efforts.
- Keep a well-organized repository of previous proposals, project data, resumes, photos, and supporting files.
- Drive improvements in the proposal creation and submission processes.
Qualifications
- Demonstrated experience in the construction industry is mandatory.
- Proficient skills in Adobe InDesign are essential.
- Previous roles such as Proposal Coordinator, Marketing Coordinator, or Bid Coordinator are highly advantageous.
- Experience in drafting construction proposals and related bid documents (RFPs, RFQs, qualification packages).
- Strong command of Microsoft Office Suite including Word, PowerPoint, Excel, and Outlook.
- Excellent written and oral communication abilities.
- Exceptional attention to detail and proofreading skills.
- Effective organizational and time management capabilities to meet multiple concurrent deadlines.
- Adept at collaborating across departments and with senior leadership.
- Comfortable operating in a fast-paced, deadline-driven construction environment.
Compensation and Work Environment
- Annual salary ranging from $60,000 to $75,000, commensurate with experience.
- Hybrid work arrangement with 4 days in-office and 1 day remote weekly.
