Job description
Overview
We are excited to offer a position for a Property Inspections Team Coordinator to support a dynamic property inspections group. After an initial training period, this role will operate on a hybrid schedule, splitting time between the Head Office located in Springfield, Chelmsford, and remote work from home.
Key Responsibilities
- Coordinating and scheduling property visits and check-out appointments.
- Sending reminder emails to tenants preparing to move out.
- Updating Reapit software with details such as meter readings, appliances, carbon monoxide detectors, and smoke alarms based on inventories.
- Rescheduling property visits as necessary.
- Managing incoming calls for unavailable Property Inspection Consultants and monitoring group email communications.
- Overseeing deposit release processes using DocuSign and liaising with accounts.
- Maintaining content on third-party CRM platforms related to Condition Reports and Inventories.
- Organizing Property Inspection Consultants' schedules and agency bookings to ensure smooth appointment coordination.
- Handling deposit negotiations from the tenancy’s end through to release, including mediation between landlords and tenants and processing paperwork when independent adjudication is needed via the Tenancy Deposit Scheme.
- Supporting the team leader with routine operational duties.
- Monitoring inventory submissions to ensure compliance and coordinating with progressors and branch staff to resolve issues and confirm readiness.
- Serving as liaison between inventory clerks and branches for arranging last-minute appointments.
- Sending completed inventories to landlords through email.
Required Qualifications and Skills
- Current or prior experience in Residential Lettings is essential.
- Strong organizational skills with ability to prioritize tasks effectively.
- Proactive approach with a positive, can-do attitude.
- Excellent verbal and written communication abilities.
- Friendly, personable, and enthusiastic demeanor.
- Capability to work independently while also thriving in a team environment.
- Meticulous attention to detail.
- Proficient in IT, especially with MS Office, and quick to adapt to new technologies.

Work Schedule
The role requires working five full days a week from 8:30 AM to 5:30 PM, Monday through Friday, with no weekend shifts. Following the probation period, employees will adopt a hybrid work model consisting of two days remote from home and three days onsite at the Chelmsford Head Office.
