Job description
Role Overview
As a Project Expeditor, you will oversee and facilitate the timely execution of supplier orders from kick-off to project close-out within the Oil & Gas sector, focusing on procurement expediting for mechanical and process packages. Your responsibilities span reviewing purchase orders, coordinating supplier documentation, monitoring delivery schedules, and ensuring compliance with contractual and project specifications, specifically within ADNOC projects.
Key Responsibilities
- Analyze assigned purchase orders promptly to identify issues and conduct supplier kick-off meetings within two weeks of PO assignment.
- Obtain and verify supplier documentation including acknowledgments, manufacturing schedules, organization charts, and prequalification documents to align with project requirements and vendor lists.
- Manage and follow up on Advance Payment and Performance Bank Guarantees ensuring they meet criteria on value, validity, and legal compliance, coordinating with Finance for reviews and timely submission.
- Formulate a comprehensive expediting strategy based on equipment criticality, including scheduling meetings, supplier audits, and progress reports with necessary approvals.
- Track manufacturing and documentation progress against schedules, participate actively in project meetings, and provide progress updates to relevant internal teams.
- Ensure critical documents are submitted as per contract timelines, facilitate reviews with engineering and quality control, and escalate any delays to management.
- Monitor compliance and schedules of sub-vendors and subcontractors, verifying unpriced sub-orders and delivery commitments consistent with the main purchase order.
- Coordinate inspections aligned with approved test plans, manage inspection notifications, resolve issues such as punch points, and oversee milestones related to invoicing and payments per contractual terms.
- Supervise packing and shipping processes to include operational spares and tools, maintain photographic records before and after packing, and guarantee readiness for shipment following delivery terms.
- Ensure complete record-keeping for materials review, shipment tracking, supplier performance evaluations, and prepare thorough order close-out reports with all documentation accepted by QA.
Minimum Qualification & Experience
- Bachelor's degree in Mechanical Engineering or a closely related engineering field.
- At least ten years of relevant experience handling EPC projects in the Oil & Gas industry.
- Demonstrated expertise in procurement expediting and managing mechanical and process packages for Oil & Gas projects.
- Comprehensive knowledge of supplier manufacturing, documentation, inspection, delivery processes, and project close-out.
- Direct experience working with ADNOC projects, understanding their specifications and requirements thoroughly.
- Proven ability to collaborate effectively with suppliers, subcontractors, and cross-functional teams including Procurement, Engineering, Quality, Planning, and Logistics.
