Role Summary
The Project Coordinator will play a vital role in ensuring seamless project execution by handling administrative tasks, coordination, and reporting duties to support Project Managers and teams. This position requires exceptional organizational capabilities, strong communication skills, and an ability to juggle multiple priorities in a dynamic project setting.
Key Responsibilities
- Assist Project Managers with daily administrative project activities.
- Organize meetings, develop agendas, document minutes, and distribute follow-up tasks.
- Manage project schedules and facilitate coordination of project-related events.
- Keep project documents, such as plans, schedules, reports, registers, and status updates, current and well organized.
- Ensure project documentation is accurate, systematically maintained, and easily retrievable.
- Support document control processes including filing.
- Coordinate tasks among project team members.
- Track task completion and follow up to meet deadlines.
- Help ensure project milestones are met on time.
- Serve as a communication bridge between project teams, stakeholders, and other departments.
- Assist in preparing project correspondences, reports, presentations, and announcements.
- Promote effective communication across all project participants.
- Monitor project progress and key milestones closely.
- Update project management systems with precise records.
- Compile frequent progress reports and notify managers of any potential delays or issues.
- Help monitor and track project resources, equipment, and materials.
- Contribute to expense tracking and generate basic budget reports.
- Observe availability of resources and escalate any shortages.
- Identify and report risks, issues, or obstacles, and assist in executing mitigation strategies.
- Encourage teamwork and coordination among project members.
- Support overall project delivery and contribute to a collaborative team culture.
Qualifications and Experience
- Academic qualification such as BEng, Diploma, or Vocational Degree equivalent.
- Possession of CAPM certification or an equivalent project management credential.
- Over 5 years of professional experience.
- At least 3 years' experience supporting projects in airport, live operational, or major infrastructure settings.
- Preference for candidates with Middle East regional project experience.
- Exceptional organizational and time management skills with the ability to handle multiple priorities simultaneously.
- Excellent verbal and written communication proficiency.
- High level of detail orientation and precision.
- Self-motivated with a proactive approach to problem-solving and ability to function independently.
- Strong interpersonal skills with capability to collaborate effectively within multidisciplinary teams.
- Familiarity with project management and team collaboration software tools.
- Advanced expertise in Microsoft Office applications especially Excel, Word, PowerPoint, and Outlook.
- Experienced in managing project documentation, reporting, planning, scheduling, and monitoring progress.
