About the Role
The New Zealand Customs Service is seeking a highly organised, proactive, and customer-oriented Programme Coordinator for their Technology Operations team within Digital & Technology. This Wellington-based position plays a vital role in delivering timely coordination and administrative assistance across programme and project governance, financial activities, licensing management, onboarding/offboarding processes, and diverse team support functions. Attention to detail, sound judgement, communication prowess, and adeptness in managing multiple priorities are essential for success.
Key Responsibilities
- Deliver high-quality coordination and administrative assistance across Digital & Technology functions.
- Support governance frameworks, financial administration, programme reporting, and stakeholder engagement.
- Manage financial tasks including purchase orders, invoicing, and software license compliance and renewal.
- Assist in month-end and year-end financial procedures in collaboration with managers and the Finance Business Partner.
- Coordinate staff onboarding and offboarding, handling security clearances and equipment requests.
- Maintain comprehensive programme and project files such as reports, schedules, plans, risk/issue registers, budgets, and databases.
- Facilitate IT housekeeping, remediation activities, audits, programme controls, and quality assurance undertakings.
- Organise governance meetings including agenda preparation, minute-taking, action tracking, and supporting effective decision-making.
- Develop and maintain strong relationships with managers, staff, suppliers, and other stakeholders.
Required Skills and Experience
- Proven experience in project, programme, team, or management coordination and administrative support roles.
- Excellent organisational skills with the ability to juggle multiple priorities, deadlines, and workflows without sacrificing accuracy.
- Strong communication skills demonstrating confidence when interacting with diverse internal and external stakeholders.
- Good problem-solving capability, initiative, and aptitude for working both independently and within teams.
- Proficiency in Microsoft Office tools, including Outlook, Word, Excel, and Visio.
- Willingness and enthusiasm to learn new systems, software, and business processes.
- Experience with Oracle Financials, purchase orders, and goods receipting is advantageous.
- An understanding of or readiness to develop knowledge in te ao Māori, te Tiriti o Waitangi, te reo Māori, and tikanga Māori in the workplace.

- Applicants must be a New Zealand citizen or permanent resident.
