Job description
Job Overview and Responsibilities
This role involves managing all stages of procurement processes from the initial material requisition to final delivery. The coordinator will receive and scrutinize Purchase Requisitions (PRs) to confirm all necessary specifications and approvals are in place. Gathering quotations from recognized suppliers and vendors, the candidate will create RFQs, carry out bid comparisons, generate purchase orders, and handle other procurement documentation.
Maintaining communication with suppliers about pricing, availability, lead times, payment terms, and delivery timelines is essential. Regular follow-ups on purchase order status, manufacturing progress, dispatch, and delivery are required. A procurement tracking and expediting report should be consistently updated to reflect current statuses.
Coordination with project teams, engineering, warehouse, logistics, and finance departments is vital to resolve any procurement-related issues. The candidate will also play a role in vendor evaluation, registration, and upkeep of the approved supplier database, ensuring all procurement activities adhere to company policies, project criteria, and commercial conditions. Monitoring timely material delivery in line with project schedules and escalating risks of delays is a key duty.
Documentation and Compliance
Verifying all supplier documents, including quotations, invoices, delivery notes, certificates, and compliance papers, is necessary. The coordinator will assist in addressing any discrepancies concerning quantity, quality, pricing, and delivery. Close collaboration with the finance team is required for invoice verification and managing payment procedures. Accurate maintenance of records related to PRs, RFQs, quotations, purchase orders, contracts, and supplier communications is fundamental.
Cost Management and Reporting
Supporting negotiations with suppliers and sourcing competitively to achieve cost savings initiatives forms part of the responsibilities. Regular procurement status reports must be prepared and presented to management.
