Role Overview
The Personal Assistant to the CEO is a critical support role, acting as the primary aide and confidant to the Chief Executive Officer at The Authors Holiday Homes. This role ensures smooth alignment of executive objectives, efficient handling of communications, and successful implementation of strategic plans. It provides broad-ranging administrative and coordination assistance within a dynamic hospitality and real estate setting.
Main Responsibilities
- Manage and optimize the CEO's calendar, appointments, meetings, and daily agenda to enhance efficiency.
- Filter, prioritize, and respond to the CEO’s emails, calls, and correspondence.
- Draft meeting agendas, prepare presentations, document meeting minutes, and monitor action items.
- Arrange detailed business travel plans including accommodations and transportation.
- Securely maintain confidential company records, contracts, and executive files.
- Support the CEO in planning and implementing strategic projects and business initiatives.
- Conduct market research and compile reports to inform business decisions.
- Act as liaison with property owners, investors, partners, governmental bodies, and other stakeholders.
- Coordinate with department heads to ensure operational tasks and strategic initiatives are completed on time.
- Facilitate communication among reservations, operations, housekeeping, maintenance, finance, and other teams.
- Track ongoing company projects and provide the CEO with regular updates.
- Address guest, owner, or partner concerns swiftly and professionally.
- Ensure compliance with company policies and applicable UAE regulations in administrative processes.
- Assist in preparing operational reports, dashboards, and executive summaries.
- Organize corporate meetings, events, trainings, and functions as needed.
Required Qualifications & Skills
- Bachelor’s degree in Business Administration, Hospitality Management, or a related discipline.
- 2 to 4 years of proven experience in a similar executive assistant or coordinator role.
- Experience within hospitality, holiday homes, real estate, or property management sectors is preferred.
- Fluent English communication skills, both verbal and written; Arabic proficiency is a plus.
- Exceptional organizational, multitasking, and time-management capabilities.
- Highly professional approach with strong discretion and confidentiality.
- Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Familiarity with document management, scheduling, or property management software is advantageous.
- Excellent interpersonal, stakeholder relationship management, problem-solving, and communication skills.
- Ability to work autonomously, prioritize various demands, and maintain effectiveness under pressure.
