About the Role

The Trillium Lakelands District School Board seeks to fill a permanent, full-time Payroll Officer 1 position at the Lindsay Education Centre effective immediately. This full-time role is part of the payroll team responsible for administering payroll functions with confidentiality and delivering excellent service to employees. Key duties include preparing, entering, and auditing payroll data while maintaining accurate payroll records.

Key Responsibilities

  • Administer payroll processes, including verification and auditing of staffing notifications and related documents, ensuring correct salary adjustments and deductions such as long-term disability, union dues, tax exemptions, vacation pay, and benefit premiums.
  • Calculate and process manual payroll changes including contracts, statutory holiday pay, retroactive pay, pay grid adjustments, supplements, and deductions related to benefits and garnishments.
  • Handle bi-weekly calculation, deduction, and remittance of family support, garnishments, and federation fees.
  • Ensure adherence to Collective Agreements and government legislation concerning payroll factors like overtime, special premiums, and statutory holidays.
  • Meet deadlines for payroll responsibilities including pension-related tasks as directed by senior payroll staff.
  • Issue Records of Employment when needed and verify earnings through Service Canada as required.
  • Manage the issuance and updating of tax forms (TD1s and CPT30), confirming payroll exemption accuracy using payroll software.
  • Monitor employee service records to ensure timely pay increases and benefits such as vacation and probationary increments are applied correctly.
  • Maintain frequent verbal and written communication with employees to provide payroll-related information and resolve queries.
  • Coordinate with third-party entities like Service Canada, unions, garnishees, and family support offices.
  • Generate payroll-related reports for various departments upon request using multiple software platforms.
  • Audit, upload, and enter timesheets and attendance records ensuring accuracy, completion, and authorization.
  • Assist supervisors with year-end financial balancing and reporting tasks.
  • Cover additional payroll assignments when required due to absence or workload demands.
  • Maintain up-to-date filing systems and records management related to payroll.
  • Collaborate closely with human resources and finance departments on relevant payroll matters.
  • Handle confidential payroll information with discretion and professionalism.

Qualifications and Skills

  • Completion of a two-year diploma in a related field such as Payroll Administration or Business Management.
  • At least two years of relevant payroll experience.
  • Proven ability to work with computerized payroll systems and multi-screen database software.
  • Strong computer skills including Microsoft Office Suite (Word, Excel), Google applications, Gmail, and specialized board software.
  • Capable of performing effectively in a dynamic and fast-paced environment.
  • Commitment to meeting strict deadlines consistently.
  • Excellent organizational skills with close attention to accuracy and detail.
  • Strong analytical, problem-solving, and numerical competence.
  • Excellent written and verbal communication skills.
  • Ability to work independently as well as collaborate effectively within a team.
  • Experience using the Service Canada Record of Employment (ROE) website.
  • Demonstrated discretion and good judgment in handling sensitive, confidential information.

Additional Information

The work schedule is 35 hours per week, Monday to Friday, at the Lindsay Education Centre located in Lindsay, Ontario. This unionized position falls under Point Band 12 and offers a starting wage of $34.87 per hour, with a maximum hourly rate of $40.68. The role provides access to health and dental benefits as well as participation in the OMERS pension plan.
