Role Overview

The Payroll Specialist is responsible for the accurate and timely processing of high-volume payrolls for both hourly and salaried employees throughout Canada and the U.S. Duties include handling data uploads, employee status updates, legislative remittances, Records of Employment, and ensuring compliance with employment legislation.

Key Performance Indicators

  • Accurate and prompt processing of assigned payrolls
  • Compliance with applicable government policies and legislation
  • Maintaining confidentiality at all times
  • Positive feedback from stakeholders

Major Responsibilities

  • Process large-scale payrolls for Canadian salaried and hourly employees and smaller volume payrolls for U.S. personnel, adhering to employment standards and company policies
  • Review and upload automated data interfaces such as time records and employee changes
  • Manage employee change requests including hires, terminations, and salary adjustments
  • Administer quarterly and annual bonus payments
  • Generate and analyze ad hoc payroll reports
  • Prepare Records of Employment and respond to government agency inquiries
  • Assist with manual journal entries and government remittance preparations
  • Coordinate with Human Resources and store management on payroll-related issues
  • Maintain and organize personnel files both physically and digitally
  • Support year-end activities including T4s and W2s production and distribution
  • Prioritize the customer experience by anticipating and responding to their needs
  • Adopt and advocate for technology-driven, high-touch solutions
  • Continuously identify improvement opportunities and challenge existing processes

Qualifications and Skills

  • Bachelor's degree or college diploma in Accounting, Finance, or Human Resources
  • At least 3 years of experience processing large-volume payrolls
  • Certified Payroll Compliance Practitioner designation preferred
  • Familiarity with UKG payroll system is an advantage
  • Proficiency in Microsoft Office, especially Excel
  • Experience handling U.S. payroll is a plus
  • Solid knowledge of payroll legislation at provincial and federal levels
  • Strong problem-solving and crisis management capabilities
  • Excellent organizational skills with meticulous attention to detail
  • Effective written and verbal communication
  • Adaptable to fast-paced and changing environments
  • Team-oriented mindset
