Position Overview

The Payroll Specialist role involves close collaboration with clients and fellow Payroll Specialists to ensure the prompt and accurate processing of payroll. This position requires ensuring precise data input into payroll systems facilitating timely payments on weekly, biweekly, and semi-monthly schedules.

Work Location and Employment Type

This is a full-time, onsite role based in Gadsden, AL or alternatively Westerville, OH, operating in a hybrid capacity.

Key Responsibilities

  • Manage a designated client portfolio by staying updated on payroll requirements and processing relevant payroll updates per each client's payroll cycle.
  • Accurately enter all payroll-related data to meet pay deadlines.
  • Maintain detailed payroll records at employee and client levels for multiple clients, ensuring service accuracy, timeliness, and outstanding customer service.
  • Configure payroll system import definitions as needed.
  • Import and verify timekeeping files within payroll systems before processing.
  • Generate payroll batches, execute payroll runs, and deliver corresponding reports to clients.
  • Regularly communicate with clients to collect payroll information such as salary changes, special payments, tax allocations, and employee deductions.
  • Accurately record changes to pay rates and employee status from paper submissions.
  • Enter employee direct deposit details where applicable.
  • Administer bonus and commission payroll cycles, including special cases like gross-up and net-zero checks.
  • Handle manual or special exception payroll batches following client payroll cycles.
  • Provide certified payroll reports and multilevel job costing tailored to client or industry specifications.
  • Maintain understanding of general ledger accounting frameworks and client accounting reports to identify and rectify GL accounting issues.
  • Add departmental, project, and division data within payroll systems accurately.
  • Investigate and resolve client and system issues ensuring accuracy of payroll reports and tax filings.
  • Foster strong professional relationships with clients, agencies, and colleagues to represent a high-quality service image.
  • Collaborate with other departments to optimize workflows and implement best practices.
  • Distribute tailored payroll reports to clients.
  • Record adjustments related to previous payroll discrepancies.
  • Provide third-level support for junior Payroll Specialists as needed.
  • Contribute to internal payroll training sessions and complete special projects as assigned.

Required Qualifications

  • Bachelor’s degree or commensurate work experience.
  • Experience servicing multi-state, multi-payroll client groups.
  • Proficiency in PrismHR and/or iSolved payroll systems preferred.
  • At least six months experience performing Specialist II level duties or demonstrated mastery of such functions.
  • Comprehensive knowledge of federal and state wage and hour laws, garnishment regulations, and tax requirements.

Compensation is influenced by individual skills, qualifications, experience, education, and location, and may include base pay, variable compensation, commissions, and performance bonuses.
