About the Role

We seek a meticulous Payroll Officer skilled in SAGE 300 People, driven by accuracy, integrity, and exceptional service delivery in a fast-paced environment.

Purpose

Oversee and execute the organization's payroll and compensation processes accurately and punctually. Ensure payroll payments, employee benefits, taxes, and deductions are processed correctly with thorough record-keeping and robust payroll controls.

Key Duties and Responsibilities

  • Administer end-to-end monthly payroll and weekly payments using SAGE 300 People, verifying and approving all inputs, and delivering within required deadlines.
  • Handle employee payroll transactions, covering hires, transfers, promotions, salary adjustments, overtime, leave, allowances, bonuses, benefits, deductions, and terminations.
  • Maintain payroll system settings in SAGE 300 People, including configurations for leave management, cost allocations, salary schedules, and controls.
  • Coordinate payroll onboarding procedures and employee status changes such as system activations, record updates, banking validations, employment confirmations, and payslip testing.
  • Manage employee benefits administration involving medical aid and provident fund enrollments, modifications, withdrawals, provider reconciliations, and query resolution.
  • Oversee employee terminations including final pay calculations, benefit discontinuations, and statutory documentations like UI-19 and UI-2.7 forms.
  • Conduct pre- and post-payroll audits including reconciliation, variance analysis, exception reporting, and control assessments.
  • Reconcile payroll with bank payments, general ledger entries, statutory deductions, employee benefits, and third-party payments, resolving any discrepancies.
  • Prepare salary payment files and ensure secure, timely uploading to banking systems.
  • Maintain compliance with South African payroll laws, including PAYE, UIF, SDL, COIDA, EMP201, EMP501 filings, tax certificates, and Statistics South Africa reporting requirements.
  • Prepare, analyze, and distribute payroll and management reports tracking expenditures, variances, headcount, leave, overtime, taxation, benefits, and month-end results.
  • Address payroll, leave, tax, and benefits inquiries liaising professionally with employees, managers, HR, Finance, SARS, and external vendors.
  • Keep comprehensive, confidential HR and payroll records in alignment with company policies, audits, ISO, POPIA, and legal standards.
  • Support payroll and BBBEE audits, payroll cost analyses, system enhancements, testing, Workday assistance, and continuous improvement initiatives.
  • Review payroll processes and staff output, identify control weaknesses, and suggest practical improvements to enhance accuracy and efficiency.
  • Handle additional payroll and HR administrative tasks as needed.

Qualifications and Experience

  • Diploma or equivalent qualification in Payroll, Human Resources, Finance, Accounting, or related field.
  • Professional payroll certification is an advantage.
  • At least 5 years of payroll experience within complex payroll environments.
  • Proficient hands-on experience with SAGE 300 People is essential.
  • Experienced in payroll reconciliations, statutory submissions, employee benefits, third-party payments, reporting, and audit support.
  • Familiarity with bargaining council environments (MEIBC) or industrial sectors is a plus.

Skills and Competencies

  • In-depth understanding of SAGE 300 People and payroll administration principles.
  • Strong knowledge of payroll legislation, statutory deductions, tax requirements, and payroll control measures.
  • Advanced proficiency in Microsoft Excel and payroll reporting tools.
  • Exceptional numerical accuracy, analytical thinking, and attention to detail.
  • Capable of independent work with minimal supervision, adept at handling typical payroll complications using established procedures.
  • Sound judgment, effective problem-solving skills, and ability to provide practical recommendations.
  • Excellent planning, organizational skills, and ability to manage deadlines successfully.
  • Clear verbal and written communication skills for explaining payroll policies and practices to various stakeholders.
  • Service-focused attitude and ability to professionally address employee queries.
  • High integrity, discretion, and commitment to confidentiality.
