Role Purpose
The Operations Executive will handle the comprehensive operational processes for Vegoil physical and paper trades. This position requires full responsibility for contract execution, logistics coordination, and efficient document handling in a dynamic environment, working closely with multiple internal and external stakeholders.
Key Responsibilities
- Oversee daily end-to-end cargo operations including vessel nomination, document preparation, loading/unloading arrangements, inspections, insurance, payment follow-ups, negotiating letters of credit, and finalizing laytime agreements.
- Coordinate daily logistics activities, maintaining communication with ship owners and agents to resolve shipping issues promptly.
- Ensure financial payment guarantees comply with contract requirements such as prepayments, letters of credit, and cash against documents (CAD) through banks.
- Execute paper trade contracts comprehensively, including negotiating string, circle, and washout transactions.
- Identify and mitigate operational risks through effective problem-solving and follow-up on claims.
- Maintain clear and timely communication with customers, shipowners, surveyors, service providers, and relevant authorities.
- Facilitate smooth information exchange across departments including Trading, Trade Assistant, Credit Risk, Treasury, Accounting, and COFCO offices.
- Ensure all operational activities conform to company standard operating procedures and policies.
- Keep internal systems updated with accurate operational data.
- Perform other duties as assigned.
Qualifications and Experience
- Proficient in written and spoken English.
- Bachelor’s degree or diploma in shipping, logistics, business, or a related field.
- Minimum of 5 to 7 years’ experience in Vegoil and/or Palm Oil operations or similar sectors, with full understanding of associated responsibilities.
- Strong sense of responsibility, meticulous attention to detail, proactive approach, and excellent communication and coordination skills.
- In-depth knowledge of Letters of Credit (LCs)/Uniform Customs and Practice (UCP) rules and standard contract forms such as Fosfa and Poram.
- Familiarity with shipping practices, including charter party (CP) terms, sales and purchase contracts, shipping documentation, laytime calculations, and insurance mechanisms.
