Job description
Role Overview
The Operations Executive will oversee the complete operational execution of MICE (Meetings, Incentives, Conferences, and Exhibitions) events and groups, managing activities from initial handover to final event closure. This position is responsible for ensuring smooth coordination among various stakeholders involved in the event lifecycle.
Key Responsibilities
- Oversee the end-to-end operations for all MICE events, ensuring flawless delivery and closure.
- Collaborate with clients, hotels, destination management companies, airlines, transporters, venues, production houses, AV teams, and other vendors to guarantee smooth event execution.
- Develop and maintain comprehensive operational documents such as detailed operation plans, itineraries, rooming lists, passenger manifests, movement plans, duty charts, and event schedules.
- Manage coordination of all logistics involving accommodation, transportation, meals, sightseeing tours, activities, conferences, gala dinners, entertainment, and event production.
- Handle airport transfers including arrivals and departures, group and VIP movements, ensuring all logistics are performed on schedule.
- Partner with Sales and Finance departments on project-specific fund management, ensuring timely receipt of advances and scheduled payments to suppliers.
- Keep track of project expenses, supplier payments, additional costs, and operational inefficiencies to maintain adherence to budgetary and profitability goals.
- Supervise event execution on-site, adeptly manage any sudden changes or challenges, and function as the primary point of contact between clients and suppliers.
- Assist the Sales team with site inspections, venue visits, supplier negotiations, destination analysis, and feasibility assessments for future MICE projects.
