Role Summary
The Operations Coordinator for the Middle East & Africa will ensure the smooth and cost-efficient transport of consignments by managing all stages from booking through pickup to delivery confirmation. The role emphasizes compliance with all internal guidelines and external regulations to guarantee secure handling and timely shipment supervision.
Key Duties
- Implement company policies and procedures daily while adapting to any changes, providing support to the General Manager.
- Efficiently handle all assigned import and export logistics activities in line with procedures and monitor shipment security throughout transit.
- Maintain clear and ongoing communication with stakeholders to facilitate seamless shipment operations; escalate concerns or emergencies to the General Manager and initiate corrective measures.
- Deliver outstanding customer service continuously, proactively engaging clients and vendors with a positive representation of Ava Global, while seeking improvement opportunities.
- Assist in vendor quotation processes, including gathering quotes, updating rates in systems, providing quotes to sales, communicating with vendors, and negotiating terms when required.
- Coordinate with finance for accurate customer invoicing and verify vendor invoices; resolve discrepancies efficiently through vendor engagement.
- Generate operational reports and regularly update the manager on vendor service performance.
- Maintain and update the vendor cost database, identifying and escalating unplanned costs or margin reductions.
- Identify operational inefficiencies and propose improvements to processes.
- Execute special projects as assigned by management.
Qualifications & Experience
- Minimum of A-Level education, with a preference for candidates holding a graduate degree.
- Between three to five years of experience in logistics, freight forwarding, or supply chain roles involving shipping process management in an international context.
- Demonstrated success in customer-focused roles, preferably in service industries.
- Strong verbal and written communication skills in English; knowledge of French is an advantage.
- Competence in MS Office applications.
- Familiarity with freight forwarding digital platforms such as Cargowise.
- Understanding of supply chain fundamentals, including regulations, rates, and advanced cargo tariff structures.
