Job description
Role Overview
We are seeking a dedicated Operations Manager based in Mumbai to oversee and streamline procurement and financial operations across multiple centers. This role demands strong vendor management, astute financial oversight, and coordination among teams to maintain efficiency, compliance, and optimal resource use.
Primary Responsibilities
Procurement Duties:
- Identify suitable suppliers, negotiate agreements, and maintain positive vendor relations.
- Ensure procurement timelines are met with a focus on quality and cost control.
- Build and regularly update a roster of prequalified suppliers.
- Track supplier performance and quickly address supply chain disruptions.
- Collaborate internally to assess inventory needs and prevent stock shortages or excess.
- Conduct market analysis to stay informed on pricing trends.
- Implement negotiation strategies to secure cost savings and optimize sourcing alternatives.
- Maintain detailed procurement documentation, including purchase orders, invoices, and contracts.
- Ensure all procurement activities comply with organizational policies and relevant regulations.
- Work closely with departments to understand procurement requirements.
- Provide regular reports on procurement progress and supplier evaluations.
- Manage issues related to faulty or delayed deliveries effectively.
- Analyze procurement data to drive operational improvements and informed decision-making.
Finance Duties:
- Process and record allowances such as travel and internet expenses upon approval.
- Verify timely salary deposits into employee accounts.
- Prepare monthly invoices for centers including Banganga, Lighthouse, and Mazgaon, distributing them to corresponding donors.
- Notify the Powai accounts team regarding received donations and generate appropriate receipts to send to donors.
- Liaise with donors and rotary club members to follow up on pending donations.
- Maintain accurate records of income and expenses across all BY & SP centers.
- Reconcile income and expenditure reports within the Powai office.
- Compile comprehensive financial reports for each center.
- Manage sending of various official documents, reports, and couriers to VIDYA office, donors, and staff.
- Prepare and submit quarterly donor management reports.
Additional Details
Salary: INR 40,000 to 45,000 per month.
