Role Overview

The Onboarding Specialist acts as a pivotal resource ensuring a smooth transition for new hires, managing processes for over 180 locations plus corporate offices.

Key Duties and Responsibilities

  • Serve as the main contact for onboarding queries from new hires and hiring managers, independently resolving challenges and coordinating with various departments.
  • Oversee the full onboarding lifecycle from offer acceptance through the first day for employees across corporate and numerous sites.
  • Establish and maintain effective communication and positive relationships with candidates, hiring managers, and internal partners of all levels.
  • Track onboarding milestones vigilantly and proactively engage all stakeholders to complete necessary pre-employment steps before start dates.
  • Ensure compliance with legal, regulatory, and company standards including verification processes (I-9, E-Verify), background checks, drug screenings, credential validations, and document management.
  • Protect sensitive candidate and employee information, preserving confidentiality in line with corporate policies and legal obligations.
  • Review professional credentials and educational qualifications to confirm alignment with job and regulatory requirements.
  • Process and execute employment contracts, relocation agreements, and other onboarding paperwork.
  • Collaborate with corporate departments, hiring managers, and third-party vendors to deliver seamless onboarding experiences.
  • Conduct orientation sessions introducing new employees to company culture, policies, and procedures.
  • Identify and contribute to improvements in onboarding processes and systems to enhance efficiency.
  • Complete additional tasks and special projects as assigned.

Qualifications and Skills

  • Excellent verbal and written communication abilities.
  • Competence with Microsoft Office, particularly Excel.
  • Experience with HRIS and applicant tracking systems, showing adaptability to new technologies.
  • Proficient understanding of onboarding best practices, HR policies, employment law, and pre-employment compliance.
  • Strong multitasking skills to handle numerous priorities and deadlines with meticulous attention to detail.
  • Proven skills in recognizing process improvement areas and implementing streamlined workflows.
  • Capacity for independent decision-making, problem-solving, and appropriate issue escalation.
  • Experience managing confidential and sensitive personnel information.
  • Organizational aptitude with the ability to work collaboratively across remote teams and diverse departments.
  • Flexibility to accommodate varied needs of new hires and hiring managers.

Physical and Work Environment Requirements

  • Work performed at corporate office location.
  • Ability to sit, stand, or kneel for extended durations.
  • Comfortable with prolonged use of computer screens and keyboard.
  • Exposure to blood borne pathogens may occur.
  • Occasional lifting of objects up to 20 pounds.
  • Ability to bend, stoop, and reach as required.
  • Strong verbal and written communication ability.
  • Focus for extended periods and safe navigation within office premises, including stairs and elevators.
  • Ability to travel up to 20% by air or car if needed.
  • Capability to use assistive mobility or communication devices if necessary.
