Job description
Overview
The Officer - Human Capital will assist in implementing various HR-related tasks such as coordinating recruitment, facilitating employee onboarding, aiding training initiatives, and managing routine HR paperwork. The role plays a key part in supporting the daily functions of the HR team by ensuring accurate record-keeping and effective communication between employees and departments.
Key Responsibilities
- Prepare onboarding materials, joining documentation, ID card applications, and welcome letters for new employees.
- Gather, scan, and organize employee records both physically and digitally, including passports, visas, contracts, and policy documents.
- Monitor and follow up on outstanding documentation from employees to ensure completeness.
- Input employee information into HR management systems or spreadsheets covering new hires, exits, and changes in employment status.
- Maintain updated trackers and logs related to health insurance, visa statuses, contract renewals, and leave records ensuring data accuracy and compliance with audit policies.
- Coordinate with Administration and Public Relations Officer teams to arrange medical examinations, visa renewals, and document collections.
- Draft standard HR letters such as address proofs and salary certificates under supervision.
- Support employee offboarding by collecting ID cards, tracking clearance documentation, and updating exit records.
- Assist with logistics during HR events, town halls, and engagement activities, including distribution and collection of circulars, announcements, and feedback forms.
- Organize HR filing systems ensuring proper labeling and sorting of employee files, adhering to audit and compliance standards.
- Prepare documentation and facilitate access for internal and external audits, flagging any discrepancies or missing paperwork to senior HR staff.
- Work collaboratively with departments such as Payroll, Administration, and IT to ensure seamless employee services.
- Provide courteous and professional responses to employee inquiries and guidance on HR procedures.
Desired Experience
Candidates should have between one and three years of progressive experience in human resources, HRMS, or administrative roles within retail or similar sectors. A track record demonstrating effective cross-functional teamwork, high levels of customer engagement, and contributing to or surpassing sales targets at store levels is preferred.
