Tickmill seeks a diligent and proactive Office Manager to oversee the routine operations and administration of its newly established Dubai mainland office. This position is crucial to maintaining a smooth and efficient workplace, involving coordination with vendors, management of facilities, and administrative support to HR activities.

Key Responsibilities
- Oversee daily administrative functions of the Dubai office including managing office supplies, facilities, and vendor relations.
- Coordinate and support the setup and ongoing management of the new office environment, handling procurement of furniture, equipment, IT and telecom installations.
- Serve as the main point of contact for landlords, building management, and office service personnel.
- Manage lease documentation, maintenance tasks, service contracts, and ensure accurate office correspondence and records.
- Organize and maintain physical and digital filing systems for contracts, vendor agreements, invoices, and related documents.
- Process purchase orders, invoices, and expense claims tied to office operations.
- Ensure compliance with office health and safety standards aligned with local regulations and company policies.
- Control office access, seating plans, and inventory of office resources.
- Handle mail services, courier dispatches, and general office communication.
- Arrange meeting logistics and administrative support for visiting executives, clients, and partners.
- Provide administrative assistance to the HR team, including supporting employee medical insurance onboarding and coordination with insurance vendors.
- Plan and coordinate employee engagement and corporate events to promote a positive work environment.
Qualifications and Skills
- At least 2 years of experience in office management, administration, or a related field.
- Proven capability to efficiently manage extensive office documentation and administrative processes.
- Excellent organizational skills with strong attention to detail in document handling.
- Ability to independently oversee multiple priorities and engage effectively with various stakeholders.
- Fluent proficiency in both written and spoken English.
- Self-motivated with a proactive work approach requiring minimal supervision.
- Arabic language proficiency is considered a beneficial asset.
