Job description

Overview

Orchestrate Consulting Group focuses on connecting job seekers with carefully curated opportunities aligning with their career goals. We are not a staffing agency; rather, we validate roles from verified employers. This position, Office Assistant III, supports operations within the IMPART Alliance at the College of Osteopathic Medicine’s Department of Family and Community Medicine.

Primary Responsibilities

  • Assist core administrative personnel and division leads by coordinating daily tasks, including scheduling meetings and managing logistical requirements for divisions such as Research and Development and Communications.
  • Order supplies, maintain and monitor inventory levels, and support the inventory lead to ensure adequate stock.
  • Manage communications and provide operational support to help streamline departmental processes.
  • Support coordination and management efforts for new initiatives like the Employer Led Collaborative and Mobile Training units.
  • Collaborate with the Principal Investigator to develop and ensure adherence to program-specific policies and procedures.

Minimum Qualifications

  • Completion of high school education or equivalent.
  • Between three to five years of progressively responsible experience in related office tasks such as word processing, spreadsheets, databases, desktop publishing, presentation software, typing, filing, and maintaining accounting records; or an equivalent combination of education and experience.

Preferred Qualifications

  • Previous experience working in an academic environment.
  • Demonstrated ability as an office or virtual assistant or in a similar role.
  • Strong organizational and time management abilities with a capacity to prioritize and multitask efficiently.
  • Excellent written and verbal communication skills with professionalism.
  • Proficiency in office productivity software including Microsoft Office Suite, Google Workspace, and project management tools.
  • Familiarity with remote collaboration platforms such as Zoom, Slack, or Microsoft Teams.
  • Attention to detail and accuracy in data entry, document preparation, and correspondence.
  • Ability to work independently with limited supervision while maintaining productivity and professionalism.
  • Flexibility to adapt to changing priorities and dynamic work settings.
  • Strong commitment to confidentiality, integrity, and professional standards.

Additional Information

  • This is a limited term position funded for nine months from the hire date, with possible extension depending on funding.
  • Work schedule follows a standard 8 AM to 5 PM timetable.
  • The role is designated as remote-friendly, allowing some or all duties to be performed remotely by mutual agreement.
